**JOB SUMMARY**
The purpose of this position is to provide routine administrative support for contracted soft services with responsibility to meet assigned objectives in an effective and efficient manner. In addition, the role will require input to category strategy development and ensure category initiatives are effectively implemented at the operational level.
**ESSENTIAL DUTIES AND RESPONSIBILITIES**
+ Performs administrative duties such as conducting research, updating and maintaining databases, and maintaining confidential files.
+ Serves as an administrative liaison to others within Facilities Management team.
+ Creates and initiates correspondence; compiles and prepares data for reports and presentations.
+ Carries out special projects and assignments as requested.
+ Establishes and maintains record keeping and filing systems; Updates various records; ensures that files are maintained in accordance with policies and procedures.
+ Assists in communication of best practices, policies, procedures and initiatives to support operations.
+ Work closely with FMs across APAC regions to ensure monthly data reporting, scorecards and financial forecasts are completed.
+ Assist in developing scope of services and support any soft service RFP activities.
+ Assist in tracking & analysing vendors spend.
+ Other duties may be assigned.
**QUALIFICATIONS**

+ High school diploma or general education degree (GED) required. Minimum of two years of related experience and/or training.
+ Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.
+ Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.
+ Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.
+ Advanced proficiency in Microsoft Office Suite. Spreadsheet skill set to include advanced functions such as graphics, pivot tables. Must have a strong command of the English and Mandarin language.
