The Sr. Executive Assistant to the Vice Chancellor for Advancement (VCA) is a key member of CU Boulder Advancement's support team. This highly visible role provides high-level administrative, operational, and donor support while serving as a trusted advisor and strategic thought partner to the VCA. The VCA is responsible for a team of approximately 200 Advancement professionals, including development and fundraising efforts, alumni relations, marketing and communications, and industry and foundation relations. The VCA also serves as a member of the CU Boulder campus cabinet, CU System Advancement leadership, and within key organizational and community initiatives.
The position manages the VCA's dynamic schedule, communications, and relationships with internal and external partners, including senior campus leaders, donors, alumni, volunteers, and university partners. Additionally, the Sr. EA leads key initiatives, helps drive organizational priorities, and ensures effective execution of Advancement's goals as led by the VCA.
The Sr. EA also supports the VCA's fundraising activities through donor outreach, meeting preparation, follow-up, and coordination with Advancement colleagues. The role supervises one staff member who manages the Executive Briefing Process and oversees logistics for Advancement events and division-wide meetings.

**What Your Key Responsibilities Will Be**
**Executive Support**
+ Manage a dynamic, high-volume calendar and sophisticated meeting schedules, including support for meetings with the Advancement Leadership Team (LT), direct reports, campus leaders, CU Foundation staff, CU system colleagues, donors, alumni, and volunteers. Proactively resolve issues and ensure alignment with strategic priorities.
+ Serve as an administrative leader in the Advancement division, actively participating in the broader Administrative Team and serving as a resource and mentor for other administrative professionals across the division and campus.
+ Coordinate and approve logistics for meetings, events, and sophisticated travel arrangements (itineraries, accommodations, reimbursements, briefings).
+ Draft, review, and edit high-level correspondence, presentations, reports, and talking points.
+ Prepare meeting agendas, materials, and briefings; supervise on follow-up items and ensure timely completion.
+ Supervise shared tasks, timelines, and special projects; drive follow-up and accountability for action items tied to VCA priorities.
+ Act as a key liaison between the VCA and the Advancement Leadership Team (LT), campus and CU system leaders, the CU Foundation, and external partners. Attend meetings on behalf of the VCA to document outcomes and advance assigned action items.
+ Anticipate needs, flag issues, and propose solutions to advance the VCA's priorities and the division's goals.
+ Serve as delegate and approval authority for expense reports, leave reports, and procurement processes.
+ Represent the VCA with discretion, tact, and professionalism in all interactions.
**Donor Engagement & Support**
+ Plan, schedule, and support donor and prospective donor meetings and activities for the VCA.
+ Conduct research, prepare donor briefings, and draft follow-up correspondence.
+ Coordinate timely and strategic outreach directly with and on behalf of the VCA to donors, prospective donors, alumni, and volunteer leaders.
+ Supervise contact reports, proposals, and pipeline updates in donor database (Salesforce).
+ Collaborate with campus leaders, gift officers and donor relations staff to align donor strategies and stewardship efforts with the VCA's donor engagement efforts.
+ Assist with planning and material preparation for donor, prospective donor, or volunteer leadership events or meetings involving the VCA, including timelines, bios, logistics, talking points, seating, coordination across attendees and campus leadership, etc.
+ Define and run reports for donors and prospective donors, fundraising and engagement data, strategic framework metrics, and others as needed.
**Strategic Project Management**
+ Supervise and mentor one direct report responsible for executive briefings and Advancement internal event/meeting logistics, often involving campus, system, and Foundation leadership, including:
+ Oversee the production of timely, accurate executive briefing materials for the VCA and campus leadership engaged in Advancement activities.
+ Ensure the executive briefing process is well-designed, efficient, and widely understood; engage and train campus partners, including development officers and other administrative support partners, to ensure timely collection of information, alignment of data, and effective collaboration.
+ Provide management oversight for internal Advancement functions such as in-person all staff meetings (~200 people), virtual division-wide meetings, and internal/offsite Advancement leadership, management, or other strategic meetings.
+ Lead or support special initiatives that enhance division operations, cross-team collaboration, and organizational effectiveness.
+ Partner with the VCA on sensitive projects, including confidential staffing, budget, or donor matters.
+ Collaborate with LT administrative professionals to enhance coordination across the division; track shared tasks, timelines, and special projects on behalf of the VCA and LT.

+ The CU Boulder Office of Advancement operates under a hybrid work model.
+ Occasional evening or weekend work will be scheduled as needed.
**What We Can Offer**
The salary range is $85,000 - $110,000 annually. Relocation assistance may be available within Advancement guidelines.
