Senior Executive Assistant
Description We are looking for an experienced Senior Executive Assistant to provide high-level support to senior leadership. In this contract to hire position, you will play a critical role in managing schedules, coordinating meetings, and ensuring seamless day-to-day operations. This opportunity is based in Jeffersontown, Kentucky, and is ideal for someone with exceptional organizational skills and attention to detail. Responsibilities: • Coordinate and manage complex calendars, including scheduling appointments and meetings for executives. • Organize and oversee travel arrangements, including booking flights, accommodations, and transportation. • Prepare meeting agendas, take accurate minutes, and ensure timely follow-up on action items. • Handle correspondence on behalf of executives, ensuring clarity and professionalism. • Assist with expense reporting by tracking expenditures and preparing detailed reports. • Support the preparation and coordination of executive meetings, ensuring all materials are ready and logistics are handled. • Perform administrative tasks such as document management, filing, and responding to inquiries. • Maintain accurate accounting entries and records related to departmental operations. • Proactively address scheduling conflicts and prioritize tasks to meet deadlines. • Collaborate with other team members to ensure smooth workflow and communication. Requirements • Proven experience as an Executive Assistant or in a similar high-level administrative role. • Strong skills in managing calendars, scheduling appointments, and coordinating meetings. • Proficiency in arranging travel, including booking flights and accommodations. • Ability to draft and manage correspondence with attention to detail and precision. • Experience in preparing expense reports and maintaining detailed financial records. • Excellent organizational skills with the ability to multitask and prioritize effectively. • Familiarity with taking meeting minutes and ensuring follow-up on key decisions. • Knowledge of accounting entries and basic financial processes is preferred.
