We are seeking a highly organized, proactive, and experienced Senior Executive Assistant to provide comprehensive administrative support to our CEO/President. In this pivotal role, you will help ensure the seamless day-to-day operations of the Executive Office and act as a strategic partner in communication, coordination, and project execution.
Key Responsibilities:
Manage the CEO’s calendar, schedule appointments, and coordinate travel arrangements.
Serve as the primary liaison between the CEO and internal/external stakeholders.
Prepare, proofread, and edit correspondence, reports, and presentations.
Coordinate board meetings, including logistics, agenda creation, minute-taking, and follow-up.
Supervise and support the Executive Office Receptionist/Assistant.
Screen and prioritize incoming communications and meeting requests.
Process expense reports and assist in managing executive-level budgets.
Plan and coordinate executive events, conferences, and special projects.
Maintain accurate and well-organized digital and physical files.
Handle confidential information with discretion and professionalism.
Support strategic initiatives and ensure smooth daily operations of the CEO’s office.
Foster a positive, professional atmosphere with high levels of customer and patient satisfaction.
Qualifications:Education:
Associate’s degree or equivalent experience required.
Business program graduate from a community college or business school preferred.
Must be (or become) a Notary Public within 6 months of employment.
Experience:
Minimum 5 years of executive administrative support experience, preferably in healthcare or a high-level executive office.
Strong interpersonal, communication, and organizational skills.
Ability to work independently and manage multiple projects under tight deadlines.
Proficiency in Microsoft Office Suite and other relevant software.
Typing, proofreading, and attention to detail are essential.
