Senior Executive Administrative Assistant-Carmel, IN (Onsite)

Job Summary:
This position will provide strategic executive-level administrative and operational support to the Chief Human Resources Officer (CHRO), the SVP & Chief Technology Officer, and Leadership teams, ensuring the seamless management of high-level responsibilities and priorities in a dynamic corporate environment.
What You Will Do:
Serve as the primary point of contact for the CHRO and SVP & Chief Technology Officer, managing all incoming inquiries (telephone, email, and personal communications). Independently respond or refer inquiries to appropriate team members with professionalism and discretion.
Schedule and organize global, complex activities such as meetings, travel, conferences, and department events for the CHRO and SVP & Chief Technology Officer. Attend key meetings to take detailed notes, track action items, and follow up on deliverables to ensure completion and alignment with organizational priorities.
Assist in the creation of polished presentation materials (e.g., PowerPoint decks, business reports, charts, and graphs) for leadership meetings and corporate initiatives. Collaborate on content development to support both HR and Engineering strategies and objectives.
Establish and maintain an organized filing system for the department, ensuring easy retrieval of confidential and critical HR and Engineering-related data. Support corporate reporting requirements, including financial reports, long-range plans, organizational leadership reviews, and performance evaluations.
Act as a liaison between the CHRO, SVP & Chief Technology Officer, other departments, and external stakeholders (including high-level executives), ensuring timely communication and coordination of information and schedules.
Work independently and collaboratively on special projects, both recurring and non-recurring, contributing to the success of HR and Engineering initiatives.
Draft, proofread, and edit correspondence, memos, presentations, reports, and proposals with a high level of accuracy, clarity, and professionalism.
Manage expense reports, invoice reviews, processing, and travel reimbursements for the CHRO and SVP & Chief Technology Officer, ensuring compliance with corporate policies and procedures.
Demonstrate a basic understanding of HR-related functions, including talent management, organizational development, compliance, and employee engagement, as well as an understanding of Engineering team priorities, to better anticipate the needs of both the CHRO and SVP & Chief Technology Officer.
What You Need to Succeed:
10+ years of Executive Administrative Assistant experience in an international corporate environment, with a proven track record of supporting C-suite executives. Human Resources support preferred.
Associate’s degree preferred.
Demonstrated ability to manage highly confidential information with discretion and professionalism.
Advanced proficiency in Microsoft Office applications, including Excel, Word, and PowerPoint, with the ability to create visually compelling and data-driven presentations.
Exceptional ability to prioritize tasks, manage competing priorities, and maintain an organized workflow in a fast-paced environment.
Meticulous attention to detail and a diligent work ethic, ensuring accuracy and quality in all deliverables.
Strong written and verbal communication skills, with the ability to interact effectively with executive leaders, board members, and external stakeholders.
High level of initiative and motivation to anticipate needs, research alternatives, and present solutions.
Ability to work collaboratively with others while independently managing daily tasks and projects.
Schedule flexibility and availability to support business needs, including occasional travel if required.
