Senior Events Administrator
Description About the Organization: Our client, a dynamic nonprofit organization, is seeking a Senior Events Administrator to lead the planning and execution of high-impact events that drive mission awareness, donor engagement, and community involvement. Position Summary: The Senior Events Administrator will oversee all aspects of event logistics, from initial concept development to post-event evaluation. This role requires a strategic thinker with exceptional organizational skills, the ability to manage multiple large-scale projects, and the capacity to collaborate effectively with internal teams, volunteers, vendors, and sponsors. The ideal candidate has a proven track record of producing successful events that align with organizational goals while staying on budget and on schedule. Key Responsibilities: + Lead the planning, coordination, and execution of fundraising galas, community outreach programs, conferences, and donor appreciation events. + Collaborate with leadership and program teams to develop event strategies that support mission objectives and fundraising targets. + Manage event budgets, track expenses, and ensure cost-effective use of resources. + Source, negotiate, and manage relationships with vendors, venues, caterers, and other event partners. + Oversee event logistics, including timelines, production schedules, audiovisual needs, transportation, and on-site management. + Coordinate event marketing and communications efforts in partnership with the marketing team, including invitations, promotional materials, and social media campaigns. + Recruit, train, and oversee event volunteers and support staff. + Maintain accurate records of attendee data, donor interactions, and event outcomes. + Conduct post-event evaluations, analyzing ROI and recommending improvements for future events. + Ensure compliance with safety regulations, permits, and insurance requirements for all events. Requirements Qualifications: + 5+ years of experience in event planning and administration, preferably within a nonprofit or mission-driven environment. + Demonstrated success in managing large-scale events and complex logistics. + Strong project management, budgeting, and negotiation skills. + Proficiency in Microsoft Office Suite and event management software (e.g., Cvent, Eventbrite). + Excellent interpersonal, communication, and problem-solving abilities. + Ability to work evenings and weekends as needed for event schedules. Preferred Skills: + Experience managing fundraising campaigns or donor stewardship events. + Knowledge of nonprofit fundraising principles and donor engagement strategies. + Graphic design or marketing experience for event collateral creation.
