Senior Coordinator, Communications
Job Location: Hershey, PA * Summary:* This role is responsible for the support of communications projects, event coordination, systems and processes, departmental administration and planning, including departmental budget management. * Major Duties/Responsibilities:* *Communications Planning, Management, and Execution: * • Supports managers in the creation and/or execution of written, verbal, and/or visual communications, including editorial, language, engagement, internal, external, and change communications. • Supports management of content across all internal and external communication channels including social media accounts, internal and external-facing websites, branding, media relations, intranet, press releases, and internal and external events. • Supports distribution of press releases. • Manages content for executive biographies, company fact sheets and other company information, as needed. • Coordinates project plans and supports logistics for engagement activities and events e.g., media/public events, employee events. • Supports Managers to align stakeholders around communications initiatives, content approvals, and consult on communications best practices and tools. • Supports Managers in the training of stakeholders around communications practices and tools, brand guidelines, media outreach, and crisis/responsive communications. * Department Portfolio Management:* • Provides training, maintenance, governance, and oversight of Communications Department’s online project management system and project portfolio tracking and reporting to maintain high standards of project management (time, cost, scope, risk) for the department. • Utilizes enterprise systems for budget and financial tracking, including creating purchase requisitions and orders, processing invoices, and creating financial and other Department Operations reports as requested. • Project Intake Management: • Drafts agendas, schedules, and facilitates Communications Department and sub-team meetings to manage the intake of new communications requests and the assignment of work within the team • Responsible for recommending and/or facilitating the assignment of incoming project requests to Communications team members based on availability, skill, interest, and budget relative to overall Communications Priorities. • Ensures collection and ongoing tracking of incoming requests of the Communications Department via intake forms, intake meetings, written briefs, and email requests * Department Operations & Administration:* • Assists managers in publishing agendas and scheduling of team and cross-functional meetings and taking/maintaining meeting notes. • Organizes and maintains electronic and paper files, including images and multimedia, ensuring accurate record-keeping and easy retrieval for the Communications Department. • Maintains and orders department equipment and supplies. • Manages the schedule and day-to-day administrative needs of the Communications Office leader • Monitors inbound communications (e.g. mailboxes, sites) and coordinates responses. * Additional Competencies: * • Strong organizational, project management and administrative skills • Ability to prioritize, multi-task while handling large volumes of information and works under strict timelines • Ability to handle sensitive information with discretion. • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and basic office equipment. • Strong verbal, written and presentation skills • Attention to details, resourceful, responsible and strong work ethic • Acts with conviction, seeks new ideas, and suggests alternatives • Excellent collaboration, influence, negotiation and inter-personal skills • Ability to think creatively/conceptually, and effectively interact with individuals at various levels within the company • A team player with a can-do attitude with ability to work independently * Minimum Education and Experience Requirements: * *Education:* Bachelor’s Degree preferred *Experience:* Minimum 2-3 years of work experience in an organization and some experience in organizational communications. #LI-AM1 #LI-Hybrid The Hershey Company is an Equal Opportunity Employer.
