Job purpose:
The Senior Benefits Specialist plays a critical role in the process-oriented administration and continuous enhancement of Element’s benefits, leave and retirement programs. This role ensures employee eligibility and understanding of benefit offerings, resolves complex issues in partnership with vendors and internal teams, and oversees day-to-day operations including leave and disability management, invoice reconciliation, and system testing. With a strong analytical mindset, the Senior Benefits Specialist supports key initiatives such as open enrollment, benefits education, and system optimization, using data and insights to improve efficiency and compliance. The role also stays current with evolving health and welfare regulations to ensure adherence to laws such as ACA, ERISA, HIPAA, Section 125, and COBRA.
Primary Tasks and responsibilities include but not limited to:
Global Benefits Support: Serve as a key member of the Benefits Center of Excellence (COE), supporting global benefits operations with primary focus on Canada and the U.S., and additional support for Mexico, Ireland, and Australia/New Zealand (ANZ).Benefits Administration: Assess employee benefits eligibility, provide expert guidance and clarification on plan details, and resolve complex benefits-related issues in coordination with brokers, carriers, and payroll teams.Leave and Disability Management: Oversee daily administration of leave of absence and disability programs, including the development and maintenance of related processes and communications. Act as the subject matter expert for leave and disability policies and procedures.Vendor Management: Manage relationships with third-party benefits providers, escalate service concerns as necessary, and ensure integrations and service delivery meet performance expectations.Invoice Processing and Reconciliation: Accurately process benefit-related notifications, vendor invoices, and perform timely reconciliation of benefits billing to maintain financial accuracy and accountability.Open Enrollment and Benefits Communication: Support the planning and execution of annual open enrollment, including system set-up, testing, employee enrollment auditing, and development of communication materials and training resources for employees and new hires.System Optimization and Testing: Collaborate with People Services to perform regular system assessments, identify opportunities for improved efficiency and compliance, and execute user acceptance testing for benefits-related system updates or enhancements.Regulatory Compliance and Reporting: Conduct research and analysis on health and welfare laws and regulations. Support the preparation of Form 5500 filings, WRAP documents, 401k audits and non-discrimination testing in partnership with external vendors.Policy Monitoring: Maintain up-to-date knowledge of relevant legislative and regulatory requirements including ACA, ERISA, HIPAA, Section 125, and COBRA to ensure company-wide compliance and provide guidance as needed.Qualifications:
Bachelor’s Degree preferred in Business, Finance, HR, or related field5-8 years of experience in Employee Benefits management in both Canada and the USDemonstrates comprehensive expertise in group benefits plans and the benefits landscape, not only within the US and Canada, but also with a global perspective, ensuring adaptability and best practices across international markets.Strong knowledge of Benefits, Pension, 401k, RRSP Absence Management and HR legal & regulatory frameworkPossesses working knowledge of ACA, ERISA & other regulatory requirements pertaining to benefit plans.Strong demonstrated ability to prepare executive-ready presentations / communications in Word and PowerPointStrong problem-solving skills, oral and written communication, planning and organization, project management and decision making.Strong knowledge of ADA, Family and Medical Leave Act (FMLA), and relevant Canadian legislationProject management, planning, organizational and time management skills demonstrated through multiple major project implementations in a fast-paced, multi-priority environmentStrong internal and external customer service skills.Ability to work autonomously and deliver results.Strong familiarity with Benefits Administration and HRIS platforms, as well as Microsoft Office including PowerPoint and ExcelWorks in a collaborative manner, securing support, efficiency and respect of all key stakeholders.The hiring base salary range for this position is $76,300 - $104,900 annually. Actual compensation within this range will be dependent upon the individual’s knowledge, skills, experience, equity with other team members, and alignment with market data. Please note that the disclosed salary range is solely for candidates hired to perform work within this geographic location. Candidates hired to work in other locations will be subject to the pay range associated with that location.
