This role plays a critical role in supporting the Strategic Advisory Solutions (SAS) Platforms business, while also managing the operations support processes across the broader SAS team. Acting as a traffic controller among many moving parts, this role ensures operational efficiency, documentation and policy integrity, accurate reporting, and timely communication among various stakeholders. Success in this role requires strong organizational skills, attention to detail, and the ability to manage multiple recurring and ad hoc tasks.
**Operational Coordination**
+ Serve as lead for internal infrastructure coordination
+ Manage employee onboarding and offboarding processes This includes understanding the nuances between the various platforms we serve, providing guidance and communicating the directions to the employee and coordinating the meeting with key HR stakeholders and Platform Client contacts.
+ Oversee the vendor audits including coordinating and tracking vendor audits and documentation, providing directions to vendors and oversee, following up on billing concerns and reconciling with Finance partners.
+ Manage business automation initiatives such as billing and invoicing and accounts receivable (e.g., Concur), review and recommend efficiencies to refine initiatives to ensure best practice.
+ Support and evaluate governance model execution and documentation for process improvement Documentation & Process Management
+ Maintain and organize employee (EE) documents and files
+ Create, document and update operational processes and procedures
+ Conduct annual reviews of documentation to identify and resolve inconsistencies and make proposal for improvement
+ Regularly update folder structures and ensure logical organization
+ Create and manage a centralized repository of key documents highlighting the nuances between the various platforms supported and recommend and influence efficiency where feasible.
**Reporting & Audits**
+ Prepare and distribute weekly operational reports
+ Update client snapshots on a monthly basis
+ Conduct audits across Workday, distribution lists, LinkedIn, etc., to ensure accuracy and compliance and propose improvements Oversee reconciliation and updates based on outcomes
+ Generate end-of-month accounting reconciliation reports and propose updates. Oversee reconciliation and updates based on outcomes: Dashboard & Systems Maintenance
+ Regularly update dashboards with employee and operational data
+ Maintain seamless account access and system integrity
+ Update team organizational charts and span of control metrics monthly
**Time & Invoice Management**
+ Save monthly invoices to the shared drive
+ Create and maintain a process to efficiently track and reconcile weekly timesheets and follow-ups
**Project Support**
+ Provide operational and administrative support to the Managing Director of Strategic Advisory Solutions. This includes crafting messaging and creating decks/PowerPoints.
+ Assist with ad hoc projects as needed
Qualifications/ Requirements:
+ Bachelor’s degree in Real Estate, Accounting, Finance, Business Administration or equivalent level of education and experience
+ Experienced professional with 5+ years of industry and/or relevant experience, typically with 1+ years in an Associate level role or external equivalent.
+ Proven experience in operations, administration, or coordination roles
+ Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
+ Excellent organizational and time management skills
+ Ability to manage multiple priorities and meet deadlines
+ Strong attention to detail and commitment to data accuracy
+ Experience with shared drives, dashboards, and reporting tools preferred
+ Familiarity with audit processes and financial reconciliation
+ Experience in creating and maintaining standard operating procedures (SOPs)
+ Ability to work independently and collaboratively across teams, including managing up and down with all levels of leadership

The annual full time base salary range for this role is
$80,000.00 - $90,000.00
Specific compensation is determined through interviews and a review of relevant education, experience, training, skills, geographic location and alignment with market data. Additionally, certain positions may be eligible to receive a discretionary bonus as determined by bonus program guidelines, position eligibility and SitusAMC Senior Management approval. SitusAMC offers PTO and paid holidays, the terms of which are set forth in the program policies. All full time employees also are eligible to participate in various benefit plans, including medical, dental, vision, life, disability insurance and 401K; in each case in accordance with the terms of the applicable plans.
