**Position Description:**
**Senior Associate, Administrative Services**
The Senior Administrative Associate is responsible for providing comprehensive administrative support and office management within Biologics Science & Technology.
The incumbent is responsible for managing calendars by arranging meetings and logistics (including accurate domestic and international travel support), managing expenses in a timely manner, managing administrative reports for the organization (example: training performance) and generating correspondence. The incumbent will also provide ad-hoc support to Directors, and Associate Directors, acting as a central point of contact.
Being a self-starter who can proactively manage priorities and independently resolves scheduling conflicts is a key dimension of the position. To execute these responsibilities, the incumbent must partner with stakeholders, including the ability to integrate effectively and quickly with the other. The ability to adjust to constant/changing situations and the ability to manage relationships with others is essential. Demonstrated experience in the logistical planning and execution of meetings, including verbal and written communication, and proactive management of meetings are critical to this role. Team work, attention to detail, flexibility and communication are crucial requirements to this position.
**The primary activities include and are not limited to the following:**
+ General Secretarial/Clerical duties.
+ Schedules travel.
+ Manages complex Travel & Expenses for Executive Director.
+ Work requires the coordination and performance of multiple tasks while understanding the project principles and technical skills related to own work assignments.
+ Coordinates events.
+ Work priorities and activities are reviewed with little supervision.
+ Produces/completes various work assignments requiring analytical ability, independent judgment, creativity and problem-solving skills.
+ Supports Team Sites and team distribution lists.
+ Communication Skills must be at a level to effectively interact with teams both on-site and remotely to maintain workflow.
**_**Must be able to report to West Point, PA two days per week and Rahway, NJ one day per week. **_**
**Position Qualifications:**
**Education Minimum Requirement:**
+ Required: High School Diploma.
+ Preferred: Advance education or certification such as (e.g. Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification).
**Required Experience and Skills:**
+ Minimum of (5) years of Administrative Assistant experience.
+ Advance computer skills using MS Outlook, WORD, EXCEL, Power Point and operations of other company internal systems.
+ Demonstrated experience scheduling coordinating complex, multi-leg domestic and international travel.
+ Experience scheduling complex travel arrangements including multi-leg domestic and international travel.
+ SAP experience processing Expense Reports, Purchase Orders, Payment Requests, Vendor Add Forms, as well as report within SAP.
+ Experience with HR functionalities such as scheduling interviews, onboarding tasks (including equipment, granting access, updating team spaces, etc.).
+ Event Planning/Coordination experience.
+ Ability to handle and prioritize a large number of simultaneous assignments.
+ Extraordinary attention to detail.
+ Outstanding communication and people skills.
**Preferred Experience and Skills:**
+ 3+ Administrative experience supporting Executive Directors/Executives.
+ Budget/Finance Management experience.
+ Management of company Procurement Card.
