The PositionThe purpose of the Senior Administrative Business Partner (ABP) is to support the PTQ Leadership Team, PTQ Global teams, and the Pharma Technical Mississauga community with coordination and execution of administrative tasks and projects, events, and meeting management to ensure continued success across Quality functions to meet PTQs vision of “All Value, Zero Waste, For Patients”. This person will be a Primary Point of Contact (PPoC) for at least one PTQ Leadership Team Member and will act as a deputy for other ABPs within PTQ as needed. The candidate selected may be expected to work flexibly, working global hours and across multiple time zones. This role is part of a global admin team and will work as part of the team in service of the PTQ Organization at Roche.
The opportunity:
Proficiency in managing Google Suite, shared team drives, complex scheduling (across time zones), and advanced Genentech IT systems (e.g., cSuite, virtual collaboration tools).
Coordinate meetings by designing agendas, managing meeting materials, rolling agendas for committees, and overseeing internal/external scheduling and logistics, including sophisticated technology needs like webcasting.
Lead and organize internal/external team events, including off-sites, teambuilding, workshops, and departmental/group meetings, ensuring efficient planning across locations, days, and travel needs.
Support hiring and onboarding processes by managing interviews, candidate logistics, hiring packages, onboarding schedules, events, devices, and orientation for new hires.
Manage and oversee internal communication channels (e.g., gSites, newsletters), assist with agenda drafting, note-taking, action items, and feedback coordination for departmental operations.
Handle operational tasks such as vendor/speaker contracts, payments, space management logistics, departmental organizational charts, and scheduling coordinated growth training sessions.
Serve as the \"go-to-person\" for administrative or operational issues within PTQ Mississauga, collaborating with global administrative networks and leadership teams to foster culture and high-performance behaviors.
Develop and sustain a communication strategy to align teams, create a collaborative environment, and strengthen the community spirit across functions and with stakeholders.
Who you are:
You hold a BS or BA degree or equivalent industry experience.
5+ years of administrative, operations, or project management experience, preferably in the pharmaceutical/biotechnology industry, with experience supporting senior leaders.
Strong ability to multitask, prioritize, and independently execute tasks, while coordinating workflows among team members when necessary.
Collaborative mindset, sharing relevant information, fostering team development, and working across functions to achieve optimal outcomes.
Skilled in handling sensitive, confidential, and proprietary information with discretion and sound judgment.
Demonstrates high accuracy and attention to detail, ensuring quality standards in their work and within the team.
Proficient in tools such as Zoom, Trello, Microsoft Office Suite, and Google Suite, with the ability to train others.
Preferred:
Familiarity with the Genentech organization.
