PurposeThe School of Human Ecology is seeking a Senior Administrative Associate to support the faculty, students, and the mission of the School of Human Ecology’s Public Health Program and its Division of Textiles and Apparel.
ResponsibilitiesAssist with departmental financial expenditures:
Coordinate all logistics for TXA and PBH faculty including coordinating travel for visiting speakers, planning itineraries, booking hotels, obtaining entertainment approvals, researching and booking venues, processing travel reimbursements, coordinating with UT facilities and catering, and other tasks as required.Create new vendor profiles, direct billing accounts, and establish relationships with regular purveyors.Gather, review, and submit supporting documentation related to accounts payable, purchasing, travel reimbursements and other requests, as needed.Utilize UT financial request and processing systems, such as DEFINE, FRMS, Point Plus, and others, as needed.Assist with departmental academic offerings:
Support course related activities in the academic programs, including: manage course scheduling, room scheduling, course instructor surveys, FASET system, schedule final exams.Assist with course catalog updates and changes for multiple degree plans, in conjunction with program directors, leadership, and program advisors.Manage classroom scheduling and other administrative tasks for academic classes.Maintain and manage departmental website and social media platforms:
Create and update website content, interfacing with CNS IT and Communications departments.Maintain units event calendar.Oversee departmental social media, website updates, and the Wiki page.Manage and maintain physical inventory:
Conduct physical inventory of TXA and PBH equipment and resources.Serve as the on-site point person of contact for faculty, staff, students, and visitors.Order office and educational supplies and receive packages.Update departmental contact lists and directories.Distributes packages ordered by TXA and PBH.Provide back-up to Department Manager and other related functions as assigned.Required QualificationsBachelor’s degree and 3 or more years of experience in a related field.Proven ability to prioritize responsibilities and manage concurrent projects, while maintaining a high level of accuracy and attention to detail.Ability to meet overlapping deadlines. Demonstrated strong organizational skills.General financial and budgeting knowledge.Excellent interpersonal, oral communication, and writing skills.Demonstrated analytical, problem-solving and critical thinking skills.Demonstrated ability to perform work independently.Experience supporting faculty and staff. Proficiency using computers, including Outlook, Microsoft Word, Excel, database programs, electronic calendar and email systems and standard office equipment.Experience working in an academic environment.Relevant education and experience may be substituted as appropriate.Preferred QualificationsFamiliarity with higher education systems and University of Texas (UT) policies is a plusSalary Range$50,000+ depending on experience
