Description
We are looking for a dedicated and detail-oriented Senior Administrative Assistant to join our team in Saint Paul, Minnesota. In this long-term contract position, you will play a pivotal role in supporting various organizational programs, managing logistics, and ensuring smooth operations across multiple functions. This is an excellent opportunity for someone passionate about working in the non-profit sector and contributing to impactful programs.
Responsibilities:
• Record and maintain accurate data for program referrals, including correspondence and database management.
• Coordinate logistics for Diversion Groups, such as sending client letters, managing class registrations, and issuing reminders.
• Prepare and distribute follow-up correspondence for program referrals as needed.
• Generate and compile detailed reports for internal and external stakeholders.
• Organize and manage the logistics for development events and training sessions.
• Collaborate with program supervisors to plan and execute orientation and training activities.
• Coordinate youth leadership events, including transportation, meetings, stipends, and necessary documentation.
• Oversee facilities management by maintaining vendor relationships, organizing supply inventories, and ensuring safety and upkeep.
• Plan and execute internal and external events by managing schedules, budgets, and logistics, and ensuring proper documentation.
• Support the Board of Directors and Administrative Team with meeting coordination, preparation of materials, and note-taking.
Requirements • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
• Experience with data entry and maintaining databases with accuracy and attention to detail.
• Strong communication skills, both written and verbal, for drafting correspondence and engaging with stakeholders.
• Skilled in calendar management and scheduling for meetings, events, and development activities requiring attention to detail.
• Familiarity with CRM platforms and tools like Cisco Webex Meetings.
• Ability to manage multiple tasks and prioritize effectively in a dynamic environment.
• Experience in event planning and logistics coordination.
• Strong organizational skills to manage inventory, supplies, and vendor relations. TalentMatch®
