As a senior administrative assistant, you will…

Support the executive and the department by representing the office of the executive with high customer service, interpersonal savvy and efficiencyProvide leadership influence and support to leaders, partners (employees) and admin support team to continuously improve productivity, communications and morale. Works as a team member with other assistants to ensure consistency of operations and alignment with company goals and strategiesPerform general administrative activities including screening and directing incoming communications, composing and typing general correspondence including emails and prioritizing, distributing and acting on communicationsServe as a point of contact for the business unit or department. Answers questions, directs requests to appropriate partners and works with other partners effectively to exchange informationMay organize, host and facilitate activities such as team and cross-functional meetings, conferences and department programming. Responsible for related activities connected to the programs. Organize and schedule team and department meetings, arrange for live and telepresence audiovisual equipment, set up meeting facilities and may take meeting minutes to provide a full summaryDirect and execute complex administrative projects including coordinating, tracking or analyzing budgets; researching information to respond to questions; updating databases and organizational charts; creating monthly reports or analyses; organizing large volumes of materials. May research background material and collect data for reports, meetings, events and correspondenceUtilize advanced technical skills to create dynamic charts, tables, graphs and presentation materials, sometimes containing confidential content, ensuring that the final product has been edited for spelling, grammar and layout Work with department administrative team in planning and organizing team space maintenance and facilities movesProvide support and resources to department hiring managers for new partner setup and immersion activitiesInitiate special projects and process improvements based upon observations of department needs. Ensures that the projects achieve the expected results within the specified timeframe and on budget. May direct the work of othersSchedule executive domestic and international travel in compliance with existing policies and procedures. Proactively addresses all aspects of the executive's travel such as currency, weather, culture and locale to ensure the executive's effective use of time and resources to promote productivityActively engage with executive's direct report team to ensure alignment of priorities and open communication paths. May attend direct report team meetings as requestedServes as a peer leader to administrative team within functionAdvises department in the use of the business unit or department's products and services. We’d love to hear from people with:

Education (minimum education level, degree or certification necessary): 
•    High School diploma/GED or 4 or more years of US military service5 or more years of experience in a role performing administrative assistant or coordinator job functions

Skills (minimum skills required): 
•    Ability to apply knowledge of multidisciplinary business principles and practices to achieve successful outcomes in cross-functional projects          and activities
•    Demonstrates confidence, composure and professionalism
•    Advanced problem-solving skills
•    Ability to effectively manage multiple leaders, projects, meet deadlines and reprioritize as needed; follows through on commitments
•    Ability to communicate clearly and concisely, both orally and in writing, with attention to detail
•    Ability to interact and communicate effectively at multiple levels of the organization
•    Ability to work independently, as part of a team and as a peer leader o Aptitude for identifying potential for process improvements and                    leading change process
•    Ability to deliver consistently high quality and professional customer service to both internal and external customers
•    Advanced proficiency in Microsoft Office Suite
•    Ability to handle confidential and sensitive information
•    Ability to exercise sound judgment and independent decision making
•    Demonstrates an aptitude for understanding the business, function and company priorities
•    Knowledge of general office administration, procedures and equipment

Years of experience in specific field or utilizing designated skills (minimum needed to be qualified): 
•    Progressive administrative experience 7-9 yrs 
•    Providing support to executive level management - or equivalent 7-9 yrs 
•    Project management 7-9 yrs 
•    Fast-paced environment 7-9 yrs

*If you are working in CA, CO, IL, LA, ME, MA, NE, ND or RI, you will accrue vacation up to a maximum of 120 hours (190 in CA) for roles below director and 200 hours (316 in CA) for roles at director or above.  For roles in other states, you will be granted vacation time starting at 120 hours annually for roles below director and 200 hours annually for roles director and above.

The actual base pay offered to the successful candidate will be based on multiple factors, including but not limited to job-related knowledge/skills, experience, geographical location, and internal equity.  At Starbucks, it is not typical for an individual to be hired at the high end of the range for their role, and compensation decisions are dependent upon the facts and circumstances of each position and candidate.
