The Department Secretary provides essential administrative support to the Head of Property Management and the broader team, ensuring smooth operations, efficient communication, and effective document management. This role is critical to maintaining operational efficiency, facilitating team coordination, and contributing to the department's ability to achieve its goals.
**RESPONSIBILITIES:**
Administrative Support:
+ Coordinate and manage appointments, meetings, and travel arrangements.
+ Handle internal and external correspondence, including emails, and letters.
+ Provide comprehensive administrative support to the Head of Property Management and the wider team.
Document Management & Compliance:
+ Organize and maintain departmental files, databases, and documentation systems (both physical and digital), ensuring accuracy and accessibility.
+ Prepare and compile regular reports, presentations, and other materials as required, ensuring accuracy and timely delivery.
+ Assist in the preparation and maintenance of documents related to ISO operations, ensuring compliance with established procedures.
Team Coordination & Support:
+ Support the planning and execution of team activities and internal events.
+ Facilitate communication and information flow within the department and with external stakeholders.
Resource Management & Logistics:
+ Ensure all departmental resources and materials are up to date and accurately maintained.
+ Handle general office tasks such as mail distribution, car bookings, and other logistical support.
Additional Responsibilities:
+ Perform other duties as assigned to support the efficiency of the department and contribute to its overall success.
+ Maintain confidentiality and handle sensitive information with discretion.
**QUALIFICATIONS:**
+ Bachelor’s degree in any related field.
+ 1–2 years of experience in an administrative or support role, preferably in a corporate environment.
+ Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
+ Strong organizational and time management skills with keen attention to detail.
+ Excellent communication skills in both Thai and English.
+ Service-oriented, proactive, and able to work effectively in a team.
+ Ability to handle multiple tasks and meet deadlines in a fast-paced environment.
