SUMMARY
The Scheduling Template Specialist is responsible for the creation of and updates to Oracle Health-based provider and resource templates within the Munson Provider Network (MPN), ensuring compliance with the MPN’s Access Guiding Principles and operational standards . Th is includes: monitor ing schedule change requests; work ing with p roviders, SLEDs, and practice managers, administrators, and staff to identify the most efficient, streamlined appointment scheduling process; building and maintaining Oracle-Health functionality; assist ing with the training of template builders to ensure consistency and adherence to approved scheduling standards; develop ing and modif ying scheduling templates to optimize provider time in practices ; and supporting the improv ement of patient access, provider scheduling rates, and provider productivity. The Scheduling Template Specialist will maintain a close working relationship with Patient Access leadership and Ambulatory Informatics .
ENTRY REQUIREMENTS
Associate’s degree in H ealth S ervices A dministration or related field preferred.
In lieu of an Associate’s Degree , candidate must have at least 3 years ’ of experience in health care.
Experience with MHC’s automated information systems, including Oracle Health and Microsoft Office Suite preferred.
Experience in schedule management and applying medical templates is preferred but not required.
Ability to work a flexible shift ( weekends , evenings) may be required occasionally.
ORGANIZATION
This position reports to the System Director, Access & Business Development.
The Health Insurance Portability and Accountability Act (HIPAA) requires that individuals access, use and disclose the minimum patient information necessary for the individual to perform his or her job duties. This position's access to information systems will be based on job duties and reasonably limited to the minimum information necessary for the position to carry out its duties. Employees are authorized to access health information only when necessary to do their work and only when on duty.
SPECIFIC DUTIES

+ Strong technical aptitude and understanding of medical office scheduling, preferably in the ambulatory setting.
+ Proven track record of follow-through and project completion.
+ Strong written and verbal communication abilities.
+ Demonstrated experience managing stakeholder requests.
+ Works independently and prioritizes projects and timelines within a flexible schedule.
+ Edit and maintain ambulatory provider and resource scheduling templates in Oracle Health .
+ Understand and follow template design principles and provider template related policies and procedures.
+ Reviews all new provider or resource template requests and template change requests of existing providers or resources.
+ Maintains template request form and completion process.
+ Ensures the template requests meet the approved guidelines and any exceptions to guidelines have been approved as required .
+ Coordinates with Informatics and other technical staff to update the scheduling database in the practice management system, including adding/updating resources and associating correct locations and appointment slots to resources .
+ Makes modifications in Oracle Health based on best-practice build guidelines . This may include but is not limited to changes in slot types, application of templates, guided scheduling, deactivating templates, and end dating templates .
+ Coordinates with practice and operational leadership to effectively apply schedule templates and to minimize disruption to patient access .
+ Keeps record of all active schedule templates and changes. Updates template repository documents with most current, approved templates , as appropriate.
+ Monitors clinic schedules and works closely with access staff to ensure accurate and efficient use of provider time.
+ Partners with practice and operational leadership to identify, review, and make recommendations regarding scheduling template enhancements.
+ Assists with training new template builders, as requested by access leadership.
+ Assumes accountability for on-time delivery of any assigned duties and/or projects as requested by the System Director of Access and Business Development.
+ Performs other duties as assigned .
