The Scheduling Coordinator is a vital member to the centralized scheduling department. They are responsible for scheduling new/established patients across 68 outpatient therapy offices in the Tri-State region (NJ, PA, MD). This role supports patient access through efficient communication and administrative support, while ensuring a smooth scheduling experience for patients.
Essential Functions
Manage high volume of inbound calls, faxes, and emails related to new patient referrals, appointments, and follow up needs.Accurately schedule new and returning patient appointments across multiple locations using various EMR systems.Provide timely and professional customer service.Apply basic insurance knowledge to appropriately schedule new leads.Use knowledge of PT/OT/ST terminology to ensure appropriate scheduling.Support project-based work.Collaborate with clinic teams and internal departments to resolve access barriers and maintain scheduling protocols.Maintain strict patient confidentiality and ensure compliance with HIPAA regulations.Note: Systems Used – Raintree, Soarian, Leading Reach, LIINE, Ring Central, Nextiva, Teams, OutlookRequired Skills & Abilities
1+ years in a medical office, central scheduling, or healthcare call center environment preferredStrong multitasking skills and ability to pay attention to detail in a fast-paced settingBasic understanding of insurances/insurance types/rehabilitation terminologyExcellent communication and organization skillsBilingual or multilingual skills are a plusExpanding Access to Quality Care
