**Summary**
+ The Scheduling Secretary provides coordination throughout the Acute Care (Med Surg, ER, OB) Departments and supports all staff including but not limited to: coordinating all aspects of payroll, maintaining accurate employee records and documentation, performing generalized secretarial duties, and is responsible for scheduling employees to ensure sufficient coverage of staff for all shifts. This position generates, manages and updates nursing, CNA and ER tech schedules while making adjustments as needed according to budgetary constraints, census fluctuations, call-ins, and pre-planned leaves of absence in collaboration with the Director of Patient Care.
**General Hours of Work**
+ Monday-Friday: days, occasional weekend/holiday/call
**Education and/or Experience**
+ High school diploma or GED required. Completion of clerical or office training preferred. Prior typing, scheduling, computer, organizational and transcribing skills preferred. Telephone and communication skills required. Bi-lingual experience preferred but not required. Must demonstrate the ability to handle the mental demands of scheduling work and prioritizing to meet deadlines. Medical Administration degree or experience preferred. Bi-lingual experience preferred but not required.

**Essential Functions**
+ Prepares and distributes staff schedule for Med Surg, OB and ED departments while communicating with staff and team leader(s).
+ Assures that required coverage for Med Surg, OB and ED is scheduled for each shift including holidays and special circumstances.
+ Monitors pool status employee’s shifts to hold accountable to expectations. Fills out illness and injury logs and notifies managers.
+ Reviews requests for paid time off (PTO), vacation, maternity leave, Family Medical Leave Act (FMLA), and unpaid leaves of absences.
+ Fulfills staffing vacancies in advance to ensure adequate coverage for all shifts.
+ Keeps attendance records and assists with the progressive disciplinary process if staff members accrue excessive absences and/or tardiness.
+ Communicates with team leader(s) regarding orientation scheduling for newly hired employees in the nursing department.
+ Completes payroll, adding floating hours, secondary job codes, and on-call hours.
+ Notifies staff of education requirements and staff meetings.
+ Compares time clock punch records against schedules and noting the appropriate changes.
+ Assists nursing teams with basic administrative assistant tasks pertaining to patient care in the hospital.
+ Assists team leader(s) with onboarding for new employees.
+ Supports the department by ordering, replacing and maintaining supplies/office equipment.
+ Supports quality and regulatory initiatives by entering quality data or data to support state and/or federal requirements.
+ Assists with entering and generating reports.
+ Demonstrates ability to design graphs, tables, and spreadsheets.
+ Answer department phone according to protocol and appropriately direct call or accurately take messages and disburse to staff so that efficient timely customer service standards are maintained.
+ File, scan, and disperse forms and files and needed to other departments or agencies as directed by department leader(s).
+ Assist with verifying demographic and insurance information and consent for treatment forms for inpatient and OB.
+ Performs other duties and responsibilities as assigned.
