Scheduler Planner
**Job Title** Scheduler Planner **Job Description Summary** The Planner/Scheduler is responsible for scheduling work force productively through effective job and task planning. Liaison between building occupants and the Facilities Engineering team. Utilizes CMMS to organize assets and manage manpower availability. Will assist in developing a structured work plan to ensure efficient and effective use of available resources. **Job Description** + Plan and schedule work utilizing maintenance management systems and standard procedures to optimize maintenance resource utilization and productivity. + Analyze maintenance and project resource requirements and assign mechanical, electrical, and engineering services as required. + Recommends and arranges alternatives for resource schedule constraints – eg. change assignments, over-time, utilization of 3rd party + Coordinate maintenance activities and details with other departments and prepare work permits. + Ensure plans, schedules and resources needed are well-defined, documented and meet customer requirements. + Maintain a comprehensive backlog of all maintenance activity by work type. Recognize the priority of the work order backlog and re-schedule when appropriate seeking direction from the Chief Engineer. + Develop, generate, and disseminate the maintenance schedule. + Schedule maintenance activities including service requests and preventive/corrective maintenance. Work closely with the Management team to ensure effects on operations are recognized, well planned, and coordinated. + Responsible for effective configuration and utilization of CMMS, including data capture, backlog management, labor management / resource productivity, performance reporting, material management, etc. as required to meet the strategic long-term objectives of the customer and Engineering team. + Perform Q/A function in work order process. + Maintain an accurate asset registry within the CMMS. + Receive all written and electronic customer work requests, verify completeness of all entries, enter information into CMMS, determine appropriate supervisor and make assignments – issue work orders. + Communicates with Technician/Requestor to determine total scope of work and priority of the project or service request work to be performed. + Administers the preventative maintenance tracking and documentation programs, assigns and distributes the work to the appropriate supervisor, reviews scope and frequency of assignments with the supervisor and makes changes where required. + Identifies resources and materials required to execute the requested work. May verify the availability of those resources prior to scheduling the work or arranges for appropriate alternatives. + May estimate job requirements for preventative maintenance activities including number/type of staff to be assigned and number of man-hours per task. + Attends daily/weekly meetings to develop the next day/week's schedule, reviews the status of scheduled work orders, and discusses new, incoming work orders. + Submits written notifications to Chief Engineer and supervisors to coordinate upcoming shutdowns. + Assists with coordination and recommendation of the use of outside services when outside labor is required to execute jobs. + Performs administrative activities associated with the effective management of operations, including compiling, storing, and retrieving data for reports. **Requirements and Qualifications:** + High School or equivalent and three to five year's progressive experience in scheduling/planning activities. Knowledge of building trades, property management, craft skills, and engineering or comparable industry experience desired. + Proficient experience with a Computerized Maintenance Management System (CMMS) + Effective verbal and written communication skills necessary to provide courteous and professional customer service. **Qualification Requirements:** To perform this job successfully, an individual must be able to perform each essential function in a satisfactory manner.
