Sanofi is seeking an experienced and strategic Hub Process Manager to oversee our Export Sales Order Management processes across a regional hub. In this pivotal role, you will be responsible of the Export sales order operations, optimizing, and managing export processes, ensuring compliance with regulations, and driving operational excellence across multiple countries within your hub. You will collaborate with various stakeholders to implement best practices, lead continuous improvement initiatives, and align hub processes with global strategies. Your expertise in export operations, process management, and your ability to navigate complex regulatory environments will be crucial in enhancing our export capabilities and supporting Sanofi's global mission.
Key Accountabilities:
Supervise a team that delivers the best service for sales order management to internal customers ensuring a positive customer experience.
Responsible for Team’s performance in:
Customer orders administration from order taking, through order validation, export shipment documentation preparation and delivery, up to invoicing managing by exception on the agreed timelines.
Capturing inquiries, requests, returns from external and internal customers.
Organizing local and hub interaction for the related processes to ensure flawless execution, especially on the aspects of impacted customer stock management with Customer Fulfilment representatives.
Monitor operational KPI’s and compliance with Sanofi policies and guidelines.
In coordination with the Sales Order Management Manager and when necessary with the local stakeholders and customer fulfilment local representatives, elaborate remediation action plan.
Ensure continuous improvement of the order management process.
Supervise, coach Sales Order Analysts
Share expertise and provide coaching.
Anticipate workload and allocate resources for effective and efficient delivery.
Employee lifecycle management (recruit, evaluate, develop, reward, retain team).
Evaluate employee performance, determine training needs, develop talent.
Address performance issues and make recommendations for personnel actions.
Shape and promote a culture of collaboration, trust, and teamwork, throughout the team through leadership and effective communication.
Focusing on employee retention and engagement, advise actions to management in this relation.
Create and regularly update job description of direct reports.
Build and maintain strong relationships with key stakeholders across the hub and at global level
Communicate effectively with senior management, providing updates on hub performance and strategic initiatives.
Represent the hub in global export management forums and initiatives.
Lead, sponsor and support execution of process improvement opportunities pipeline to increase operational efficiency, service quality and optimize costs
Be responsible for improvements business case evaluation.
Oversee process automation initiatives to ensure seamless adoption and transition.
Participate in global projects as required
Develop, implement, and maintain standardized processes for export sales order management across all countries within the hub
Continuously analyze existing processes to identify areas for improvement and efficiency gains.
Ensure alignment of hub processes with global export sales order management strategies and best practices.
Identify opportunities for automation and digital transformation within export processes.
Oversee compliance with international trade regulations and export controls across the hub
Implement risk management strategies to mitigate export-related risks.
Stay abreast of changes in export regulations affecting countries within the hub and ensure timely process adaptations.
Conduct regular audits to ensure adherence to established processes and compliance standards.
Trainings
Ensure onboarding of new hires and related trainings are organized.
Determine the training need of direct reports, provide access to professional trainings of existing procedures and work instructions, and additional job related trainings
About You
Minimum a Bachelor’s Degree / Post Graduate Diploma / Professional Degree in Accounting / Finance / Business or equivalent.
Minimum 7-years working experience in Order-to-Cash and understand the Order-to-Cash lifecycle from Order Management, Dispute Management, contract & commercial conditions management or similar processes, preferably in Pharmaceutical industry.
Excellent English communication skill, other language skills such as Mandarin, Japanese, Korean will be advantageous.
A minimum of 2-years’ experience as a people manager, a team player, able to work collaboratively transversally and with front line teams with an end-to-end mindset.
Understand commercial policies, pricing, rebates, on-off invoices.
Robust knowledge on international trade regulations, including export operations and documentation requirements.
Knowledge of Microsoft Office and expertise of MS Excel, as well as SAP S4 Hana preferably SD and GTS modules experience.
Ability to interact with internal and external stakeholders/clients in a professional manner.
Ability to work independently and take ownership of tasks and processes.
Ability to organize, prioritize and structure the tasks for oneself and direct reports.
