Sales & Events Coordinator

The Sales & Events Coordinator will play a key role in supporting the sales and events team by assisting with client communications, preparing proposals, tracking leads, and ensuring a smooth handoff to our event planning team. This role is ideal for someone who is highly organized, proactive, and enjoys working in a fast-paced, client-focused environment.

What will I be doing?

\n


Specifically, you will be responsible for performing the following tasks to the highest standards:

\n\n\n\n\n\n\nAssist in responding to inquiries, preparing proposals, and following up with potential clients\nSupport the sales team in generating contracts, Banquet Event Orders (BEOs), and invoices\nMaintain an organized system for tracking contracts, deposits, and event details\nConduct site visits and walkthroughs with prospective clients to showcase hotel event spaces\nCommunicate event details and changes to internal departments to ensure flawless execution\n\n

Administrative & Operational Support:

\n\nAttend BEO and pre-event meetings, ensuring all departments receive updated event details\nMaintain accurate event records in the hotel’s sales system (e.g., Delphi/FDC)\nEnsure appropriate supplies, ordering, and receiving for department or area\nAssist in managing reservations and group accommodations for event guests\n\n

Client & Guest Relations:

\n\nAct as a point of contact for clients, providing timely responses and professional support\nEnsure exceptional service by addressing client needs before, during, and after events\nWork closely with the banquet, catering, reservations and front office teams to ensure a seamless guest experience\n\n

Supportive Functions:

\n\nPerform other duties and responsibilities as assigned and/or requested\nAssists in the delivery and support of projects as required by senior management\nAssists in the delivery of sales systems support as required\nAssist Wedding and Events Specialist with coordinating (wedding) events\nAssist with groups in-house\n\n\n\n\n\n\n

\n\nExcellent communication skills\nProficient in Microsoft Office applications (such as Word, Excel, PowerPoint, and Outlook) and has experience working with sales software such as Delphi/FDC.\nProactive approach to meeting deadlines and targets\nExcellent organizational and administration skills\n\n

It would be advantageous in this position for you to demonstrate the following capabilities and distinctions:

\n\nPrevious experience in a sales role\nRelevant degree, in a sales or business discipline, from \nEPI Hospitality or equivalent required. (Associate's Degree)\n\n
