What this job involves
As a Sales Coordinator, you will be responsible for handling a wide range of administrative and support related tasks and will be able to work independently. This person must be especially well organized and flexible. The ability to interact with people (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with an elevated level of professionalism and confidentiality is crucial to this role.
AREAS OF RESPONSIBILITY
Administrative Front Desk Duties
Greet / host / provide support for guests, visitors and employeesAnswer all incoming calls and direct the caller to the appropriate associate or voice mail as appropriate.Point of contact for all packages / deliveriesRetrieve, open and distribute mailPick up, drop off, prepare postage / labels for mail / UPS / FedEx, courier services, etc.Update phone listsCompose, proof and edit communications and corporate announcementsRespond and follow through to requests for information and communicate with all levels of management with minimal supervisionHousekeeping duties to include maintenance of break room areaMaintain all conference rooms for cleanliness, reserve conference rooms including ordering and set-upOrder, maintain and organize all kitchen and office suppliesStock copier machines, order copier supplies and conduct meter readingsResolve problems associated with all building services including janitorial, mailroom, copier services, parking, badging, and conference roomsAssist with the scheduling, planning and coordination of office eventsInterface with Facilities Management for office-related issuesTrack and process broker expenses according to the JLL T&E policyMarketing
Maintain property / management inventory listReview JLL website and third-party vendors monthly to ensure our property information is accurate and completeProvide research via online, offline and third-party resources and provide industry related news as requestedProvide overflow assistance to Sales Coordinators as neededProvide administrative support to one or more brokersActive liaison with marketing department (ex: planning client events)Interested? Required
Minimum 2 years of administrative support experience supporting multiple people preferably in the commercial real estate industryProficiency in MS (Microsoft) Windows and Office (Word, Excel, PowerPoint, and Outlook)Excellent computer and typing skillsPreferred
Experience with Adobe Creative Cloud (InDesign, Illustrator, Photoshop)An associate degree, or higherProblem solver and pro-active thinkerExcellent customer service and relationship building skillsLocation:
