Sales Coordinator

Main Tasks

Duties and responsibilities include but are not limited to:

1. Work closely with sales manager and line manager, faciliate to book various sales projects, and achieve sales target and customer satisfaction.

2. Oversee the related sales target achievement and make accurate monthly OR and Revenue forecast in relevant region.

3. Support on sales opportunity, quotation and cost calculation. Review and validate sales contracts, migrate commerical risks for the non-standard contract, propose and align with sales/customers on the necessary amendment.

4. Strictly follow the global export control policy for daily business. Ensure the process’ full compliance with export regulation at all aspects – documentation, website, company profile.

5. Act as the window between sales and other departments. Conduct all the sales activities to IQS standard in terms of performance and compliance , ensure policies, instructions and proper proce-dures are followed.

6. Manage SAP sales order and customer information database. Improve data accuracy with sales order (all types), from SAP order intake to the order delivery and billing.

7. To liaise with customer on contract payment collection, letter of credit draft and bank guarantees checking.

8. Coordinate with other departments for order delivery follow-up/expediting and shipping arrange-ment. Work with logistic to drive one-time and complete delivery.

9. Efficient communication to ensure customers’ request for products and services are directed to the responsible departments. Minimize shipment delay to next billing month under all circumstances.

10. According to incoterms, support customer to prepare import customs clearance documents, lead customer to follow the customs regulation. Documents including export licnese,tax exemption cer-tificate, packing list, invoice, contract, electromechanical certificate, radiation certificate.

11. Conduct daily order processing to the maximum of efficiency and in full compliance with IQS policies.

12. Attend sales meetings,AR meetings, record meeting minutes, and follow up with sales to meet action deadline.

13. Serve as the back office of related sales team for documentation and paperwork.

14. Online and offline contract documentation organization and archiving

15. Perform other related duties and responsibilities as assigned.

Requirements

Education :Bachelor degree in Science and Engineering, English, International Trade or Business Admin-istration is preferred.

Experience :At least 1-3 years’ experience in a coordinator or sales support position.

Other skills

1. Use of computer software, Proficient for MS-office skills, especially Excel/PowerPoint/Word,familiar with Teams/ OneDrive/ OneNote/Enterprise WeChat is preferred

2. Use of general office machines

5. Perform multiple tasks and remain calm during frequent interruptions

6. Provide positive co-operation to the organization

9. Incoterms, customs clearance, L/C and bank guarantees knowledge

10. Language skills: Good command of written and spoken English
