Opportunity: Sales & Catering Coordinator
Provide ongoing communication between the clients, other internal departments, and the sales/catering office ensuring all operational standards and overall guest satisfaction is met.
Your Growth Path: Conference Planning Manager / Catering Manager / Group Sales
Your Focus:
Assist in weekly sales reporting as directed by ADOS / DOSM Review all turnover files and compare to HMS / Delphi to ensure accurate room block and seamless information across channelsIncluding but not limited to: resort fee, routing, delegate rooms held back, booking link, etcAssist other Department Managers when all hands on deck is necessaryAssign leads to appropriate sellers, based on deployment that call in directly to the office. Manage all group blocks/inventory for a budget of $6M annual Group Room Revenue, including but not limited to entering rooming lists, making/change group reservations and auditing group blocks for duplicate reservation, managing waitlist.Constant and proactive communication with the customer is requiredAct as additional point of contact for all groups regarding rooms which includes but is not limited to assisting with group reservations, making changes, VIP’s, routing, rooming lists, meeting with customers on property.Assist Conference Planner with final bills when room questions ariseAssist Conference Planning with regular review / updating to Master Group / Deposit list. Assist Catering & Conference Planning with Coupons / Special Signage when requiredDaily - In conjunction with Rooms Manager and Revenue Manager, manage overall hotel room inventory, identify oversold dates, identify reservations without deposits, reach out to process payment or cancel to maximize inventory.Daily - Respond to any group or catering related customer service reports ( CSR) from call centerWeekly - Check GRC and send an updated list to sales managers regarding Tentative & Prospects Weekly - Conduct group block audit of blocks with outstand rooms to sell or upcoming rooming lists due with your notes from the clients and share with sales/catering managersWeekly - Ensure BEO packet and Resumes are ready for distribution on Tuesdays and the “book” is clean and ready before BEO / Resume mtgAdditionally, managing any updates changes to BEOs / Resumes that may be distributed separately from the packetMonthly - Check Expedia & Booking.com commissionable reservations Monthly - Check Travel Agent commissions Monthly - Process and track group commissions communication to Accounting for accrual informationPerform other duties as requested by management
Your Background and Skills:
High School diploma or equivalent preferredPrevious hotel or reservations experience preferred, but not required
Work Environment and Context:
Work schedule varies and may include occasionally working on holidays, weekendsRequired to sit for extended periods, lift up to 10 pounds, bend, reach, use hands and fingers to operate the keyboard.
