S&O and Alliances Team Assistant

We are looking for the right candidate to be a trusted right-hand person and team assistant for the Global S&O (Strategy & Operations) and Alliances Team Leaders.
The team assistant will need to demonstrate a high degree of accountability, autonomy, interpersonal and team alignment skills. The assistant is to ensure smooth and seamless integration and management of some of the Global S&O and Alliances Team Leaders most crucial administrative tasks, applying pro-activity, initiative, discretion, and confidentiality to all tasks.

 

Responsibilities

Planning & coordinating domestic and international travel plans end to end including all logistics, itineraries, and international visas for the different Global S&O and Alliances Team Leaders Providing travel arrangements and itineraries - ensuring the itinerary meets the Global S&O and Alliances Team Leaders’ goals for the specific trips Work closely with the other Team and Executive Assistants on team wide business operations initiatives. Support the Business Cadence, ensuring that the Global S&O and Alliances Team Leaders are informed of any potential clashes and rescheduling as appropriate    Book meeting rooms, catering and AV for Global S&O and Alliances Team Leaders’ onsite meetings Reconciling the Global S&O and Alliances Team Leaders expense reports, ensure timely processing and approvals as appropriate. Exercise sound judgment, tact, diplomacy, integrity and professionalism in all transactions to include communicating and working with confidential and sensitive information Developing a knowledge of the business group strategy and/or functional expertise and acting as an information resource to the business group Coordinating team morale events while staying within managing the allocated budget Maintaining and publishing organizational charts, contact lists, org level aliases and distribution groups Ownership of internal processes, including creating Purchase Orders, tracking invoices, ordering Hardware/Software/Procurement for existing team members as well as new hires Organize Live Meetings for large group meetings and offsites

 

 

Key Success Criteria

Provide effective support enabling the Global S&O and Alliances Team Leaders to work as efficiently and effectively as possible. Ability to implement process but at the same time flex as the business requires Capable of building and maintaining excellent relationships with key stakeholders including a tight network of other Assistants internally and externally Very confident with outlook/calendar/scheduling and updating meeting requests Always presents a professional image both internally and externally Exceptional time, organization, planning and management skills Strong communication skills Use initiative appropriate to position and demonstrates a high degree of pro-activity Demonstrates ownership, tracking and follow through to resolution on all queries and issues

 

Experience Required

5+ years of senior-level administrative experience in a fast-paced environment Self-motivated, with a hands-on, can-do attitude High level of integrity and confidentiality in handling sensitive materials with professionalism Ability to anticipate executive needs and work independently with a high degree of accuracy Proficient in Microsoft Office Suite, excellent knowledge of MS Outlook and Word Organized and efficient, able to plan and prioritize effectively, Strong problem-solving skills and capable of working under pressure to meet tight deadlines Ability to deal with numerous competing demands and range of different people
