Rooms Controller

Job Summary:

The Rooms Controller will work in partnership with Front Office, Revenue Management and other operational departments with a focus on managing the hotel’s room inventory to maximize both revenue and quality service levels for guests. 

Job Duties & Functions:

Complete daily checklist, which includes running and checking various reports and preparing for the upcoming day's arrivals, departures, room assignments, balancing inventory and interfaces, show rooms, routings, specific room packages.   Check every single reservation and assign rooms according to guest request, room category booked, connecting rooms, as per VIP/Rewards membership status and preferences whenever possible. Pre-register designated guests and prepare key packets.     Handle current days arrivals and departures, room changes, open folios, room allocation based on guests arrival and departure time, room moves. Ensure queue rooms are managed and work with appropriate departments to ensure guest rooms are ready in a timely manner.  Daily blocking upcoming reservations into rooms, balancing room categories and inventory in Opera and OXI, synchronizing reservations, tracking duplicate reservations, blocking upcoming arrivals behind departures to ensure maximum occupancy, ensure house is balanced and in case differences occur process corrective measures.    Prepare show rooms – blocking rooms OOS and have respective room keys cut – coordinate with HSK, Sales and Maintenance.   Blocking for run of house rooms 3 months out and Premium categories 365 days out, unblock rooms. Input traces, alerts, comments.   Prepare for upcoming groups arriving by reviewing group resumes and accommodating any specific billing and/or reservation requests.   Work with other departments on a regular basis to ensure the day's operations run smoothly. Building a solid relation with Reservations, Housekeeping and Engineering, to ensure flawless communication within departments to ensure the team’s success    Identify any over-commitments. Proactively identify upsell opportunities and inform the Front desk team accordingly   Out of Service and Out of Order liaise with Maintenance and HSK to ensure Out of Service and Out of Order status is communicated and updated accordingly.   Send an end of day briefing on all important room information, VIP’s, room assignation for the future day to all departments  

Education & Experience:

2 years of Front office experience in luxury or lifestyle hotel with 1 year as a rooms controller preferred.    Ability to diplomatically deal with difficult situations and people, while exhibiting a constant level of integrity.   Proven record of ability to multitask and high level of organizational skills    Flawless verbal and written communication in English    Experience with Opera is a must   Flexible schedule, able to work evenings, weekends, and holidays when needed.   Must have strong proficiencies in Microsoft Office and Outlook  Familiar with hotel systems and operations, and the ability to enter in information accurately.  Work well under pressure, dealing with many arrivals and departures within a short period of time.   Demonstrate the ability to multi-task, be detail-oriented, and be able to problem solve in order to effectively deal with internal and external customers.  Posted August 7, 2025
