Duties Description This position is located within the bureau of Member & Employer Services, Division of Retirement Services and is responsible for:• Assist Employers in Reporting Process o Prepare employers for new employer reporting and member enrollment functionality through Retirement Online and to guide employers through the certification process; training and certifying employers in the processes to successfully submit transactions in the Enhanced format, and providing assistance and support to employers through their transition as well as after transition is complete. • Provide one-on-one coaching to assigned NYSLRS employers for the purposes of achieving Gold Certification, training activities, and subsequently successful report submission. • Manage the performance of Gold Certification activities of employers as assigned. • Work with assigned employers to complete file submission process as needed. • Work one-on-one with employers as assigned, and as needed, to facilitate completion of required activities, including understanding of reporting error resolution, follow up on notifications, and familiarity with Retirement Online Employer pages (e.g. enrollment dashboard, improper withholdings, etc.). • Confer with other Team members to ensure employers have the support needed, including technical support. • Perform knowledge transfer activities to transition coaches as they are hired or assigned to the team. • Create and update communications and training materials, as needed, to facilitate completion of required certification activities for employers. • Support employers with the goal of creating successful participating NYSLRS employers. • Collect data to support the monitoring and reporting of transition trends to validate the resource strategy and future staffing needs. • Provide status of assigned employers. • Triage and escalation of issues requiring the next level of support. • Conduct outreach to employers to support employer reporting activities through email, over the phone or in person. • Work directly with service providers to assist them in updating their files to accommodate the changes needed to utilize new system functionality. Provide information to impacted employer security holders to inform them of next steps for certification and/or training. • Provide required assistance to employers regarding registering for certification and training sessions; maintain schedules for Gold Certification, transition, and re-training as necessary. • Develop and/or revise support materials for Gold Certification or retraining efforts, as necessary. • Collect data to support the monitoring, tracking, and reporting of progress against goals and objectives. o Disseminate retirement laws, policies, and procedures to participating employers as needed for them to participate and report correctly and timely. • Provide support to participating employers on all aspects of the submission of reports for Enhanced Reporting, including file development, testing, and step-by-step training. • Act as first line of contact for employers through the NYSLRS IVR when calling regarding Enhanced Reporting. • Give technical assistance when reporting functionality fails. • Identify and resolve administrative and processing issues. • Handle escalated case work by resolving more difficult and complex issues. • Travel to employer locations to provide group and individual training. • Provide employer training by means of WebEx • Coordinate with the Member Enrollment Unit on Job and BIO Data file reporting. • Provide guidance to other bureaus on Enhanced Reporting. • Present feedback to Information Representative 2 on suggestions received from employers regarding policies, procedures, and process enhancements. • Respond to employer inquiries by email, disseminate to the appropriate unit as needed, and take employer calls through the NYSLRS IVR. • Participate in and/or conduct Employer Seminars across New York State. • Assist in the application and distribution of new retirement legislation, and the resulting rules and regulations as they apply to the employer’s responsibility. • Ensure the status of pending legislation is communicated to staff often and routinely. • Assist in developing informational materials. o Develop and champion initiatives to improve the delivery of information to members/employers. • Participate in the identification and implementation of system improvements related to employer reporting and enrollment, to improve the employer experience and accuracy of data received as well as use of this data in other NYSLRS business processes. • Assist in the development and implementation of internet-based applications and other innovative information sharing techniques. Research and recommend new technologies and provide relevant suggestions/recommendations regarding technology that enables customer service. • Interpret feedback from System members, employers and employees regarding System policies and procedures, and propose methods to improve the quality of customer service to Bureau management. o Respond to inquiries. • Research and drafts responses to correspondence from employers on behalf of executive management. • Respond to written and telephone inquiries from employers pertaining to all functional areas of the units. • Respond to questions from Retirement System personnel. • Other Duties As Assignedo Provide support to participating employers with all aspects of the submission of reports for Enhanced Reporting, including file development, testing, and step-by-step training.o Act as a call center representative for employers on enhanced reporting.o Provide technical assistance when reporting functionality fails.o Identify and resolve administrative and processing issues.o Gather information and propose content used in the development of training materials for seminars and other types of training for employers transitioning to and using the new enhanced reporting process.o Handle escalated case work by resolving more difficult and complex issues.o Travel to employer locations to provide group and individual training.o Coordinate with the Registration Unit on Job and BIO Data file reporting.o Act as subject matter expert and as a transition coach for enhanced reporting.o Provide guidance to other bureaus on enhanced reporting.o Provide feedback to MESB supervisors on suggestions received from employers regarding policies, procedures and process enhancements.
