Hours: Hybrid, M-F, 7:30 am to 4:00 pm
This position will have resource management responsibilities within the Information Services organization, reporting to the Manager of Desktop and LAN Entity. It will ensure that projects are resourced effectively and efficiently with the most appropriate individuals and will also ensure these individuals are properly utilized, with both project and staffing needs met.
Accountabilities
Act as centralized point-of-contact, working with Project Managers to orchestrate the assignment of consultants to customer engagements based on availability, utilization goals, skills match, client constraints and other myriad factors determining the optimal makeup of project teams primarily for projects.
Proactively pinpoint resource constraints/problems, and identify solutions and escalate issues where necessary
Manage frequent resourcing conversations, working with Managers, Directors and Project Managers.
Consolidate and manage all staffing requests using Microsoft Project Server and SharePoint.
Monitor and manage data in Microsoft Project Server and SharePoint on an ongoing basis.
Conduct weekly staffing calls with Account Managers and Project Managers to align project staff and ensure that hours are forecasted appropriately in Microsoft Project Server and SharePoint.
Conduct on-site assessments with Practice Managers, Practice Directors and Project Managers to review existing staffing requests, current staffing requirements and bench reports.
Monitor utilization and bring potential staffing issues to Manager and Senior Leaderships’ attention and help devise a solution to staffing issues.
Prepare reports on various resourcing data.
Assist in engaging with contractors as needed when there are staffing shortfalls.
Validate Statements of Work for contractors are current and compliant on an as needed basis.
Ensure all contractors complete their timesheets and contracts are updated.
Assist Finance department with validating monthly invoices for contractors to ensure they correlate to the correct billing code and billable hours.
Lead Technician on site during go-live projects. Ensure that all contractors provide professional standards of customer support to our end users.
Provide weekly status updates to consulting firms pertaining to results achieved.
Successfully onboard new hires including backfill positions and project management consultants, ensuring all accounts are activated and deactivated appropriately.
Minimum Requirements
Required Education and Experience
HS diploma required (Bachelor’s degree preferred).
Minimum of 2 years of resource management experience in a healthcare environment.
Experience managing and evaluating resources in a project management environment.
Strong negotiation and communication skills.
Ability to work in a fast paced, results-oriented environment.
Required Skills and Abilities
Self-starter, able to manage a changing workload. Ability to work under pressure and able to calmly prioritize conflicting demands.
Excellent service-driven customer-focused skills. Good follow through, awareness of the importance of updating interested parties efficiently and effectively.
Proven ability to work in both a team environment and independently.
Excellent oral, written and interpersonal communications skills. Professional telephone manner and able to handle discussions with senior experienced managers.
Superior project planning and time management skills, strong attention to detail.
