Regional Provider Scheduling Coordinator

**SUMMARY DESCRIPTION**
This position will support the Emergency Medicine provider group. Under the direction of the Program Manager or Service Line Director, the Regional Scheduling Coordinator is responsible for developing and maintaining highly detailed and complex schedules for the regional service line. This includes tracking FTEs, managing scheduling and other business-related databases, and generating a variety of complex reports to support data-driven decision-making.
The ideal candidate will demonstrate strong interpersonal and communication skills, with the ability to build effective working relationships across departments and teams.
Key responsibilities include ensuring appropriate clinical assignments of physicians and advanced practice providers while maximizing efficiency, accuracy, and equity. The role requires close collaboration with physician leaders, directors, and managers to ensure adequate coverage in all clinical areas.
This position requires strong computer proficiency, including advanced skills in Microsoft Excel, as well as excellent multitasking and time management abilities. The Regional Scheduling Coordinator is also expected to assume additional responsibilities as needed to support the mission of the service line.
**JOB REQUIREMENTS**
1) Creates complex multidisciplinary physician schedules while adhering to established timelines and deadlines. Adjust schedules to meet the daily changes in clinical needs of the Emergency Department. Ensures that adequate provider coverage across all service lines is consistent and appropriately met.
2) Manages, monitors, and troubleshoots the daily input to the schedule. Runs reports to assist with the maintenance of the schedules. Anticipates and troubleshoots potential problems and takes corrective action. Prepares activity reports on volume and performs daily quality data review and makes appropriate corrective actions. Assists in the reconciliation of the schedule and the management of the scheduling systems.
3) Develops and coordinates a systematic approach to identify coverage needs far in advance, develops and communicates action plan with medical and administrative leaders, sustains appropriate physician coverage in all service line departments.
4) Create and maintain database for tracking provider FTE's and schedule statistics to ensure accurate and equitable assignments. Perform complex data analysis, including summary reporting, modeling for future schedule needs, and creating actionable reports for administrative team as needed.
5) Regularly meet with providers to review their scheduling contracts and identify opportunities for scheduling optimization.
6) Manages all back-end scheduling software tasks including on boarding new physician users, adjusting schedule templates, and pulling custom reports as needed by administrative team.
7) Tactfully handles difficult situations with providers and co-workers. Works well and cooperatively with supervisors and those in leadership roles. Demonstrates good rapport and cooperative working relationships with peers, the various practices, with physicians, nurses, other BMC departments including outside medical and/or related personnel.
8) Collaborates with the staff in the department, through daily interaction and through formal meetings. Promotes relationships based on mutual respect and support. Communicates effectively with staff/colleagues/physicians and other members of the health care team.
9) Articulate and present objective assessments of physician coverage need to Physician Leadership, Program Manager and/or Service Line Director to avoid adversely impacting service line operations.
10) Provides ongoing education and process improvement to providers and staff as it relates to schedule management.
11) Assist co-workers with departmental duties and special projects.
12) Performs duties in an independent manner with minimal direct supervision. Offers suggestions or positive changes in policies, procedures and forms. Recognizes and performs duties which are not directly assigned (keeping work areas neat, orderly and well stocked etc.)
13) Partner regularly with local community Chief's to effectively manage scheduling needs.
**Qualifications**
Unless otherwise required by certification, licensure, or registration, an equivalent combination of education and experience that provides proficiency in the areas of responsibility listed in this description may be substituted for the minimally required education and/or experience listed in the Qualifications section below.

**MINIMALLY REQUIRED EXPERIENCE**
3-5 years of experience in an administrative role is required.
**PREFERRED EXPERIENCE**
Strongly prefer 3-5+ years of experience managing complex clinical schedules.
