Job Description

What is it all about?

The Regional Office Manager reports directly to Corporate Services, with a dotted line to the Country Manager. They are based at the Warsaw Head office but is responsible for all the Warsaw and Central Eastern Europe offices.

What we expect of you, day to day:

Operations

Maintain a safe and secure working environment respecting all health & safety regulations (Visa rules and regulations, Polish labor law), implementing all required trainings and drillsEffectively and successfully respond to problem situationManagement of special situations (pandemics, etc.)DocuSign management for CEE Cluster

Security and H&S:

Guarantee of clean and safe offices, liaising with the contracted service, and ensuring that they comply with Visa standards (both security and H&S)Point of contact for Security London & Facilities: Crisis Management Team member, 24- hour availability for security incidents related to the office, Dawn Raid Trainings

Facilities:

Manage team of administrative support and receptionistsManage relationships: vendors, service providers and landlordManage Ask Facilities & Condeco use and petitionsOM PlaybookSupervision and active participation in any facilities renovations or expansions, as well as routine maintenance

Finance

OPEX budget preparation and fulfillment, POs, contracts, Invoice payment, etc.Monthly Cashbook for LondonTax payments for entityStrong support in audit processes

Events

Facilities logistics, meeting rooms Offsites for Visa employees from other sitesOffsites for CEE offices and for departmentsCreate & publish communications on behalf of the leadership team for items that are of interest to the entire office.Send client communications and invitations from the Visa Europe mailbox, ensuring correct text and format.

Various:

Selection, training and management of Reception teamSupport and coordination with ITVisa-branded merchandising (selection, tracking, delivery and distribution)Create and implement initiatives to better the workplace experience (in conjunction with CS Lead).

 

This is a hybrid position. Expectation of days in office will be confirmed by your Hiring Manager.

Qualifications

What we're after...

Bachelor's Degree or diploma in business, management, finance or hospitality (nice to have)5 or more years of admin and office management experience in very busy and international environment, covering regional activities, and regional offices experience in supporting large events, supporting facilities for other Offices/Hospitality/Executive AssistanceExperience managing teamGreat communication skills and working under the pressureEnglish and Polish on Advanced level at least
