JOB SUMMARY
The purpose of this position is to manage multiple functions of building operations and maintenance. The position has both operational and financial (P&L) management responsibility, for all sites within the Greater China region, covering Hong Kong, China and Taiwan. The position is based in Hong Kong and reports into the Associate Director.
ESSENTIAL DUTIES AND RESPONSIBILITIES
+ Facility Management: Oversee the day-to-day operations of all facilities within the sub-region, ensuring they are maintained to the highest standards and all deliverables are achieved on-time and within budget.
+ Regional Coordination: Work closely with regional office managers to ensure consistency and standardization of facilities management practices across all locations.
+ Leadership and Supervision: Lead and supervise the facility management team, ensuring that all team members understand their roles and responsibilities. Provide guidance, support and training to team members to enhance their skills and performance.
+ Stakeholder Management: Develops and maintains positive client relationships. Is visible as a subregion manager and ensures the on-the-ground office managers proactively manage the relationship with the client. Conducts client meetings on unresolved facility issues in an expeditious and professional manner. Communicates to clients regarding property profiles, emergency preparedness plans, site inspections, facility audits, work order progress reports, and other related reports.
+ Maintenance and Repairs: Coordinate and manage maintenance, repairs, and renovations to ensure minimal disruption to office operations.
+ Vendor Management: Engage and manage relationships with external service providers and contractors for maintenance, security, cleaning, and other facility-related services.
+ Health and Safety: Ensure compliance with all local health and safety regulations and company policies. Conduct regular safety audits and risk assessments.
+ Budget Management: Has P&L management responsibility for the North Asia budget. Management of the country office managers to ensure cost-effectiveness and efficiency in all operations.
+ Space Planning: Proactively optimize space utilization and manage office layouts to accommodate business needs and growth.
+ Sustainability Initiatives: Implement and promote sustainable practices within the facilities to reduce environmental impact.
+ Projects: Oversees the management of both operational and capital projects.
+ Crisis & Incident Management: Lead the response to any facility-related emergencies. This includes developing and maintaining procedures include emergency action plans, disaster recovery, business continuity, and other related procedures.
+ Reporting & Documentation: Maintain accurate records and documentation related to team activities, performance and facility operations. Prepare and submit regular financial, operational and governance reports to senior management. Ensure the sub-region is audit ready.
+ Other duties may be assigned.
What You’ll Need:
+ Bachelor's Degree preferred with 5 - 8 years of relevant experience. In lieu of a degree, a combination of experience and education will be considered. Valid driver's license required. Facility Management certification preferred.
+ Experience in the areas of staffing, selection, training, development, coaching, mentoring, measuring, appraising, and rewarding performance and retention is preferred.
+ Ability to lead the exchange of sensitive, complicated, and difficult information, convey performance expectations and handle problems.
+ Leadership skills to motivate the team to achieve broad operational targets with impacts on own job discipline, multiple job disciplines, and department.
+ In-depth knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
+ Extensive organizational skills and an advanced inquisitive mindset.
+ Intermediate math skills. Ability to calculate complicated figures such as percentages, fractions, and other financial-related calculations.
