Downer has a contract to provide Facilities Maintenance services to Toitū Te Whenua Land Information New Zealand (LINZ). These residential and non-residential properties are spread across New Zealand. The property types are wide ranging and include land, residential, railway/rail stations, lake/riverbeds, forests, commercial, hospital/medical, farms, state coal reserves and industrial sites.
The role of the Contract Coordinator is to provide administrative support to the Regional Facilities Manager, including assistance in planning, co-ordinating and ensuring delivery of all Planned Maintenance and Reactive Works in alignment with contractual KPIs for the contract.
This specific role also plays a large part in the management of our periodic scheduled maintenance plans (create, amend, and finalise). Liaison with our client, supply delivery partners and our IT business unit is key. Just as important is the need to follow up on closing out work orders, ensuring that we are meeting our KPI’s.
Working in a fast-paced environment with competing priorities and deadlines, a day in the life will include:
Lead in the development of the periodic scheduled maintenance plans Providing real time administrative support to ensure the day-to-day operations, purchasing and account payable functions are well supported. Support Field and Sub-Contractors to ensure Contractual KPIs are met, and works can be delivered at times suitable to the customer requirements. Develop ad hoc status and progress reports & assist with the management of the work schedules and adjust dynamically to meet KPIs. Communicating effectively with clients and suppliers, both internal and external, to produce required outcomes. Actively seeking improvement opportunities to increase; client satisfaction, value through operations and Downer’s overall company standing.Nga Pūkenga Motuhake | Important Skills
Having worked in a similar role, you’ll have a positive, can-do attitude and will come to work amped and ready to support this busy contract. You will be exceptionally organised and show willingness and enthusiasm to work at pace within this environment. Your excellent communication and relationship building skills will be vital in your day-to-day dealings with external & internal teams. You will also:
Experienced in administration, scheduling, or planning (ideally in Trade Services) within KPI-driven, high-pressure environments. Skilled communicator with strong organisational, time management, multi-tasking, and analytical abilities. Able to work independently and collaboratively within a broader team. Proficient in WMS, SAP, and the MS Office suite (especially Excel and Word).
