Job Description

We are seeking a detail-oriented and experienced Reconciliation Manager to oversee and manage a team of reconciliation specialists. The successful candidate will be responsible for the daily reconciliation of bank accounts and client e-money, ensuring accuracy and efficiency in payment transactions and reconciliations.

Based in our office in Cardiff, the successful candidate will work UK hours, 5 days per week, Saturday to Wednesday, taking full responsibility of weekend reconciliations, escalations of issues and management of client funds.

This role requires strong leadership skills, proficiency in reconciliation systems, and an in-depth understanding of payment regulations, including the requirements around safeguarding of client money. Additionally, the Reconciliation Manager will collaborate with Team Leads in other locations to ensure consistency of processes and best practices, as well as build strong team morale across different locations.

Key Responsibilities:

1. Team Leadership:

· Lead, mentor, and supervise a team of at least 4 individuals

· Allocate tasks and monitor team performance to ensure timely completion of daily reconciliation activities.

· Conduct regular team meetings and provide ongoing training and support.

· Build strong team morale and foster a positive working environment across the team, including those in different locations

· Responsible for the day to day running of the team and point of escalation for any operational issues

2. Reconciliation Activities:

· Oversee the daily reconciliation of bank accounts and client e-money, ensuring all discrepancies are identified and resolved promptly.

· Implement appropriate alerting mechanisms to ensure any risks to safeguarding client funds are promptly identified and addressed.

· Review and verify reconciliation reports for accuracy and completeness.

· Ensure all unreconciled items are actioned within SLA, taking ownership of follow-up and resolution.

· Work alongside Team Leads in other locations to ensure consistency in processes and coordination of change

· Work closely with the Core Operations Team Leaders and Incident Management Team to manage daily issues, escalations, and incidents, encouraging collaboration across teams for seamless operation

3. Process Improvement:

· Develop and implement efficient written reconciliation processes and procedures.

· Identify areas for improvement and recommend solutions to streamline operations and enhance accuracy.

· Own key controls and KPI metrics to identify areas for improvement and ensure a high standard of service.

· Stay updated with industry best practices and regulatory requirements.

· Demonstrate a meticulous and thorough approach, with a bias to action and the ability to manage own workload on both short and long-term projects

4. Reporting and Documentation:

· Prepare and present regular reports on reconciliation activities, discrepancies, and resolutions to senior management.

· Maintain comprehensive documentation of reconciliation processes, procedures, and findings.

· Ensure all records are accurate, up-to-date, and easily accessible for audits.

· Communicate effectively with team members and upper management, ensuring transparency and clarity in all updates.

5. Compliance and Risk Management:

· Ensure all reconciliation activities comply with internal policies, regulatory requirements, and industry standards.

· Monitor and mitigate risks associated with payment transactions and reconciliations.

· Collaborate with compliance and risk management teams to address any identified issues.

· Have a continuous understanding of all safeguarding and regulatory obligations, applying this knowledge and awareness to all daily activities.

6. Cross-Functional Collaboration:

· Work closely with other departments, including finance, accounting, and operations, to ensure seamless reconciliation processes.

· Coordinate with external stakeholders, such as banks and clients, to resolve any reconciliation-related issues.

· Collaborate with team leads in other regions to ensure consistency of processes and best practices across all locations.

This is a hybrid position. Expectation of days in office will be confirmed by your Hiring Manager.

Qualifications

Experience: Minimum of 5 years of experience in payment reconciliation or a similar role, with at least 2 years in a supervisory or team lead position.
