This position is responsible for maintaining a welcoming environment at the front desk while also supporting fundraising and administrative tasks. This dual role position requires excellent communication, organizational, and multitasking skills.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Greet clients and visitors in a professional, supportive manner providing program and community informationManage telephone system main line for the facility including answering and directing calls and messagesTriages individuals for the appropriate program and staff connectionsEngages, manages, and effectively works with person in crisis and high-risk, vulnerable client populationMaintains a neat and welcoming entrance to the facility directing guests and visitors during office hours.Distributes direct clients service items with appropriate documentation and tracking Provide administrative assistance to the development department.Provides scheduling and documentation support for facility programsOrder and maintain supplies, equipment, and custom printing. Maintains forms for facility, based on program and departments housed at facility, as assignedMaintain required regulation documents on bulletin boards and binders in the front office.Maintains databases, data tracking systems and reports, as assignedPrepares documents for assigned facility/department meetingsParticipate in maintaining structure and order in the facility by reporting and documenting incidents, concerns, and observations consistentlyAttend and participate in staff meetings, program meetings, and staff training as determined by DirectorSupport the development team with donor database management, event planning, and fundraising campaigns.Process donations and prepare donor acknowledgmentsMaintain contact information and essential data in the agency donor database Maintain volunteer applications and time sheetsAssist in the implementation of direct mail campaign materials, solicitations, and donor stewardship materialsManage 3rd Party Event applications and deliverablesEngage staff in event participation Provide logistical support for development activities, including set up, participation, and volunteer organizationKNOWLEDGE, SKILLS, AND ABILITIESExcellent verbal and written communication skills with the ability to communicate with diverse populationsStrong interpersonal and customer service skills.Attention to detail and ability to prioritize tasks effectively.Ability to answer phones promptly and in a professional and courteous manner.Ability to maintain professional boundaries with clients and staffAbility to read and interpret documentsAbility to handle confidential information appropriatelyAbility to establish and maintain effective working relationships with employees, other agencies, and the publicAbility to maintain professional demeanor while working with diverse populationsAbility to follow written and verbal instructions and meet established deadlinesModerate to advanced computer skills required: Microsoft Office, Multiple Databases, Scheduling ProgramsBasic math skills required: addition, subtraction, multiplication, and divisionAbility to work independently with minimal directionBasic office equipment operation skillsEDUCATION AND WORK EXPERIENCEHigh School diploma or GED Equivalent and one-year related experience and/or training. Related technical school training is preferred. Minimum (2) years’ customer service experienceModerate to Proficient CRM software preferredExperience in fundraising or nonprofit development is preferredKnowledge of HIV/AIDS preferred.
Important Notes:
Some physical effort may be required to push, move and life light objects less than 20 lbs. Position requires balance between task and people skills
Must pass all drug and background screening requirements
