The Position

We’re looking for a professional and reliable Receptionist/Business Support to join our team at 44 Esplanade on a part-time basis. This is a varied role that combines front-of-house responsibilities with behind-the-scenes support, ensuring the smooth running of our reception and client suite, as well as wider business support across meetings, events, and general administration.

You’ll be the first point of contact for visitors and colleagues, helping to maintain a high standard of service throughout the office. This role would suit someone with a background in hospitality or corporate reception who is confident managing multiple tasks, comfortable working with senior stakeholders, and has a strong focus on service delivery.

Your Responsibilities

Client & Visitor Experience

Provide a warm, professional welcome to clients, visitors, and colleagues, ensuring a smooth check-in process. Deliver seamless hospitality (refreshments and food provisions) and ensure meeting rooms are prepared, serviced, and presented to a high standard. Manage room bookings, coordinate last-minute changes, and oversee visitor access and security protocols. Support events and meetings with room setup, catering arrangements, and day-of coordination. Maintain regular communication with service users, ensuring their feedback drives improvements in experience and service.

Hospitality & Facilities Oversight

Monitor and restock refreshments, catering, and consumables to ensure the client suite is always presentation-ready. Keep reception, kitchen, and meeting spaces clean, organised, and welcoming. Report and follow up on facilities issues and ensure IT and AV equipment in meeting rooms is working correctly. Arrange guest travel including taxis and chauffeur bookings when required.

Business & Admin Support

Provide general administrative support, including producing reports and assisting with ad hoc tasks and internal projects. Manage catering orders and support onboarding/offboarding processes for employees. Assist the team with daily admin, planning and continuous service improvements.

Health & Safety

Take part in required training including first aid, AED and fire safety. Maintain health and safety protocols in all reception and client-facing areas.

Teamwork & Collaboration

Follow scheduled rotas and provide flexible cover when needed. Work closely with our Centralised Local Services (CLS) team locally and across jurisdictions. Actively contribute to team meetings, service reviews, and cross-location initiatives.

Your Profile

At least 2 years’ experience in a customer-facing role, preferably in a corporate or a hospitality environment. A natural people person with excellent communication, interpersonal and relationship-building skills. Strong organisational abilities and attention to detail with a proactive, solutions-driven mindset. Comfortable working independently and as part of a wider team in a fast-paced environment. IT confident – skilled in Microsoft Office, Outlook, and ideally visitor management systems. Willing to complete mandatory training and engage in ongoing personal development.
