Sunbelt Rentals--the fastest growing rental business in North America--is seeking a Administrative Assistant. As an Administrative Assistant, you will perform general clerical duties to include but not limited to: photocopying, faxing, and filing.

Reception

Act as our clients’ first point of contact on the phone and in person

Handle visitors in a professional, prompt, and courteous manner

Direct calls to the proper team member based on client needs

Maintain internal phone/cell phone extension list

Ensure photocopier and cheque scanner are operating properly

liaise with IT to call for repair as required

Receive daily mail

Disseminate to proper departments or individuals

Organize and deposit production cheques

Create spreadsheet with backup and send to Accounts Receivable

Supply room duties

Weekly inventory of all supplies (office, PPE, staff shirts, and accessories)

Request and submit quotes for re-ordering

Re-stock supplies, keeping room organized and tidy

Maintain invoice and other department backup filing

Coordinate mail destined for other offices

Ensure reception and staff kitchen are kept neat and presentable

Assist with staff events

Promote a work environment that fosters creativity, ingenuity, and high staff morale

Other administrative duties, tasks and projects as required

Previous First Aid training considered a strong asset

Billing

Create rentals drafts, verify dollar amounts, and check for POs

Adjust amounts for any billing schedules provided by the CSR team

Generate Draft Verification Report and distribute to CSR teams

Confirm final invoices from approved Draft Verification Report

Ensure differing provincial tax schedules and tax exemptions are billed accurately

Receive Commercials Department Usage Reports and generate corresponding invoice drafts

Track payments for Cash Accounts

Process credit card payments using the POS terminal

Work within month-end schedule to ensure billing is as up to date as possible

Assist CSR team in closing completed orders

Review Drafts Over One Week Old report to confirm all billing has been process to invoice level

Support CSR and AP teams regarding subrental billings

Work with Billing Manager to resolve invoicing issues

Include appropriate CSRs when required

Aid in acquiring POs

Assist in providing account statements when requested

Settle POS machine weekly, verifying backup balances to the settlement total

Qualifications:

Proficient in Microsoft Office Suite

Knowledge of the film industry an asset

Strong organizational, interpersonal, and multitasking skills

Ability to work under pressure and to tight deadlines

Fine attention to detail, previous billing experience considered an asset

Excellent verbal and written communication skills

Strong customer service skills

Base Pay Range

25.18 - 34.61
