Receptionist/Administrative Assistant

What this job involves

Front desk reception duties - answering calls from tenants and ensuring customer service is a top priority at all times, transmitting various requests via the work order system (Prism) or over the phoneGreeting visitors and contractors, assigning access cards to contractors as applicableOrdering stationery and coffee supplies, maintaining office equipment and ensuring efficient operation of the office as requiredProcessing invoices for payment – coding assigned invoices and advancing for approvalAssisting with various administrative special projects as assignedOrdering property postersResponding to tenant inquiries and directing them to the appropriate teamOpening mail and distributing amongst the teamScanning, copying, filing and general office dutiesOther duties as reasonably assigned

2-3 years’ experience in administrative and/or reception role within the commercial real estate environmentPost-secondary education is an assetExcellent computer skills, including proficiency in Excel and working knowledge of Outlook, Word and PowerPointStrong analytical and problem-solving skillsAdaptability and flexibility, ability to handle a fast-paced environmentExcellent customer service skills with ability to deal with evolving tenant needsProven organizational skills; ability to cope with changing tenant needsExcellent verbal and written communication skillsAttention to detail; ability to resolve problems using facts and sound reasoningSelf-motivation, professional and flexible attitude; ability to work both independently and as part of a team
