Job Title: Receptionist/Administrative Coordinator Job Description As a Receptionist/Administrative Coordinator, you will play a crucial role in ensuring the efficient operation of our offices. You will be responsible for a variety of tasks that support daily office operations and enhance the experience of our visitors and staff. Responsibilities + Answer and transfer phone calls, screening when necessary. + Welcome and direct visitors and clients. + Maintain supplies inventory by checking stock levels, anticipating needs, and placing orders. + Perform data entry and filing. + Retrieve information from records, emails, minutes, and other documents as requested. + Respond to and resolve administrative inquiries and questions. + Coordinate and schedule meetings and appointments for managers or supervisors. + Prepare agendas and schedules for meetings. + Maintain the system for recording expenses and petty cash usage. + Review and distribute mail to appropriate parties. + Maintain office calendars. + Schedule conference rooms and ensure they are ready for meetings. + Assist with invoicing. + Send monthly birthday cards to employees. + Make authorized purchases with the company credit card and ensure receipts are provided to accounting. + Deposit checks. + Perform other clerical tasks as needed. Essential Skills + High School Diploma or GED Equivalent (Bachelor’s or Associate’s Degree preferred). + Minimum of two years of prior experience as a receptionist or administrative assistant. + Proficiency in Microsoft Office Suite, including PowerPoint, Word, and Outlook for scheduling and calendar management. + Proficiency in virtual meeting platforms such as Zoom, Microsoft Teams, Google Meets, and Webex. + Excellent verbal and written communication skills. + Excellent interpersonal and customer service skills. + Excellent organizational skills and attention to detail. + Basic understanding of clerical procedures and systems such as recordkeeping and filing. + Ability to work independently. Work Environment The work environment is a professional office setting where you will interact with clients, visitors, and team members. The role involves using various technologies and equipment, including computers and virtual meeting platforms. Business casual attire is expected. Pay and Benefits The pay range for this position is $20.00 - $20.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
