Position summary

ASM Global, the world leader in venue management and live event production, oversees 350+ iconic venues stadiums, arenas, conventions centers and theaters have an excellent opportunity for a receptionist at Coliseo de Puerto Rico. The receptionist is the first point of contact for guests and other visitors of Coliseo de Puerto Rico. Must have a pleasant and inviting demeanor and be a motivated self-starter with an unparalleled work ethic and desire to be the best. This position is responsible for providing impeccable customer service to internal and external guests. Primary responsibilities will include answering Coliseo de Puerto Rico’s main telephone lines, directing calls, taking, and relaying messages, providing venue and event-related information to callers, greeting people entering the office, and directing individuals to the correct destinations. The receptionist will assist the HR department.

Essential Duties

Professionally receives all incoming phone calls on the Coliseo switchboard, connects clients to the proper extensions, and answers questions concerning upcoming events, ticket prices, company address, directions to the company location and other related information etc.Maintains a professional, friendly, and hospitable presence in all internal and external interactions. Welcomes on-site visitors, determines nature of business, announces visitors to appropriate personnel, directs visitors as needed.Full ownership of the Conference and Meeting Rooms. Scheduling appointments, organizing meetings, maintaining appointment diary either electronically or manually In charge of the Conference Room beverage inventory; receives & stores the supplies; monitor in a daily basis the mini fridge, refills as necessary.Receives, sorts, and routes mail, and maintains and routes publications.Exercises discretion and interpretive judgment when speaking with sometimes stressful callers. Maintains Copy Room organized with office materials.Supports de Human Resources Department with the management of employee physical files.Assist Human Resources with employees’ initiatives including distribution, employee acknowledgments, among other HR communication.Supports and handle phone screenings for nonexempt employees including the management of the interview calendar.Perform other clerical duties as needed.

Qualifications

Bachelor DegreeOr 1 year related experience working with publicOr equivalent combination of education and experienceCustomer service background preferredKnowledge and experience with Main Phone switchboard system.Excellent verbal, written and interpersonal skills are essential. Must have a professional attitude and appearance.Able to handle confidential matters.Must be able to speak, read, and write Spanish and English.Knowledge in MS Office Word, Canvas and Outlook
