Reasonable Accommodation Request Coordinator
Job Description

The Coordinator provides direct support to individuals with disabilities as defined by the Americans with Disabilities Act and its Amendments (ADA/ADAAA). This role enhances the interactive process for applicants and team members requesting accommodations and reviews complex medical information for temporary and permanent accommodation requests.  The Coordinator educates and guides management regarding support for individuals with disabilities and facilitates compliance with the ADA/ADAAA and related federal, state, and local laws.

ESSENTIAL JOB FUNCTIONS

Act as a subject matter expert for team members, management, and physicians regarding reasonable accommodations. Provide guidance as appropriate and act as a liaison between all parties when necessary.

Maintain a working knowledge of state and federal disability laws and company policies.

Answer a high volume of phone calls from team members and managers in a professional and courteous manner. 

Partner with applicants, team members, applicable management, and appropriate departments to engage in an interactive process to review, approve, or negotiate accommodation requests; identify or suggest reasonable alternative accommodations, or deny restrictions based on lack of supporting documentation through correspondence with team members, health care providers, management, and other key stakeholders.

Review medical information for temporary and permanent accommodation requests and obtain clarification when needed from health care providers.

Partner with team members and management to identify the specific physical tolerances and essential job functions needed for a particular position.

Review essential job functions along with restrictions/limitations provided by the team member, their treating provider, and management to confirm the team member can perform the essential functions with or without the accommodation(s) requested.

Maintain regular contact with team members, management, health care providers, and other key stakeholders regarding progress and status of accommodations; assist in the resolution of any challenges related to accommodation requests.

Prepare meaningful, concise, and accurate correspondence as it relates to investigations and requests. Coordinate and prioritize prompt action and attention to detail in documentation and data management as multiple interactives are conducted simultaneously.

Maintain up to date and accurate accommodation files in the Company’s case management system.

Actively monitor case load volume to ensure effective, timely responses and resolution.

Ensure all applicable accommodation laws are considered and applied. Coordinate with paid time off and other leave and insurance programs as necessary.

Coordinate with Risk Management and the Leave of Absence team if, in the event, work-related permanent restrictions cannot be accommodated, to place an eligible team member on leave.

Uphold the policies and procedures provided by the Company regarding confidentiality and data security for the handling of sensitive team member medical information. 

All other duties as assigned.

SKILLS/EDUCATION/KNOWLEDGE/EXPERIENCE/ABILITIESRequired:

1 year of related experience or equivalent combination of experience and education

Strong analytical and critical thinking skills with the ability to exercise discretion and maintain a high level of confidentiality

Strong written, verbal, and interpersonal communication skills

High attention to detail with an emphasis on ensuring accuracy

Demonstrated time management skills with the ability to work well under pressure and meet multiple simultaneous deadlines

Strong computer skills (MS Word, MS Excel, Microsoft Outlook and HRIS system)

Ability to work with high motivation and limited supervision

Desired: 

Degree in Human Resources or 2+ years of equivalent work experience

Strong knowledge of relevant laws, regulations, and best practices related to reasonable accommodation and disability management

Familiarity with the Americans with Disabilities Act (ADA) and Americans with Disabilities Amendments Act (ADAAA)
