Job Description
The Proposal Specialist will coordinate and deliver quality proposals for Federal, State, Municipal, and Private projects. This role involves collaborating with staff to plan, design, edit, and produce government form proposals, expressions of interest, technical proposals, and presentations. You will provide conceptual support for document design while ensuring adherence to RFP instructions and internal brand guidelines. You will also prepare major sections of proposals, such as project descriptions and resumes, tailored for specific proposals, and collaborate with technical staff to develop other content. The role includes coordinating all phases of the proposal process from kick-off meeting to production, delivery, and closeout, supporting debriefs, and gathering client feedback.
ResponsibilitiesCoordinate and deliver quality proposals for various projects.Collaborate with staff to plan, design, and edit government form proposals.Provide conceptual support for document design following RFP instructions and brand guidelines.Prepare major sections of proposals and collaborate with technical staff.Coordinate all phases of the proposal process, including timelines and milestones.Support debriefs and gather client feedback for continuous improvement.Participate in pre-proposal meetings, progress meetings, and debriefings.Maintain visually appealing marketing materials such as resumes and project descriptions.Interact with technical, administrative, and marketing staff, as well as outside vendors and clients.Perform administrative duties related to marketing, including filing and data input.Research websites and publications for project opportunities and track leads.Gather information and conduct market research to support strategic growth.Demonstrate excellent communication skills and present information effectively.Support recruitment efforts, including resume screening and intake interviews.Maintain and grow social media presence and website.Assist in conference management, event marketing, and outreach strategy.Essential SkillsProposals, RFP, Construction1-5 years of experience in business development, marketing, or communications.Bachelor's degree in Marketing, Business, Communication or related field, or equivalent experience.Proficiency in Microsoft Suite (Word, PowerPoint, Excel, Outlook, Teams).Additional Skills & QualificationsExperience with Adobe Creative Suite.1-5 years of related experience with knowledge of RFP structure and proposal process.Proficiency in technical writing, reviewing, and proofreading materials for content and grammar.Work Environment
The work environment is hybrid, with the possibility of being 100% remote. It offers a flexible working arrangement that accommodates different preferences.
Pay and Benefits
The pay range for this position is $35.00 - $45.00/hr.
