The Proposal Coordinator directly supports a team of Proposal Managers (PMs), with a focus on Tech Sales. In this role, you will partner with our PMs, providing assistance with proposal activities including managing proposal schedules and deadlines, developing proposal outlines and other proposal compliance documentation, track the team’s proposal activity and capacity, and support the development of proposal and presentation deliverables.
Main Responsibilities:
Assist the Proposal Managers in managing all proposal efforts, with the goal of increasing team efficiency and productivity, internal client satisfaction, and business growth.
Coordinate with proposal managers and various pursuit team members to support the preparation of proposals, including MS Teams & SharePoint sites, schedules, responsibility trackers, formatting, layout, technical writing, and proofreading
Participates in regular proposal progress status meetings and assists in maintaining the bid schedule
Support responses to external requests for prequalification information
Support preparations for client presentations, including slide deck development
Read and analyze RFQ/RFP responses and edit proposal content for readability, consistency, clarify and compliance with requirements
Manage strong, collaborative working relationships with staff to ensure proposal inputs are accurate, compelling, and timely
Manage electronic proposal files, including Teams and SharePoint files, and ensure file closeout and archival procedures are followed
Assist in creating materials such as project write-ups, case studies, staffing resumes, and client presentations
Manage proposal feedback surveys and collate survey responses for data reporting
Take responsibility for the proposal management activity tracker administration
Work with Proposal Content Manager to keep content library updated
Establish the electronic file structure, archive, and back-up capability and procedures for all proposal materials on the team’s server system/drive
Working with manager to gain knowledge about the position by setting goals each quarter
Other reasonable and normal duties associated with the Proposal Coordinator position, as directed by the Proposal Manager.
Qualifications
Bachelor’s Degree in Marketing, Journalism, or English
3-5 years of working experience, preferably in the real estate industry
Strong organizational and communication skills (written and oral)
Strong writing and editing skills (including grammar and punctuation)
Strong communication and interpersonal skills
Attention to detail and excellent proofreading abilities
Ability to multi-task, be proactive, work independently or in a team setting and establish priorities
Efficiently work under pressure in a dynamic deadline-driven environment
Proficiency in desktop publishing, presentation and other marketing related software
A good eye for visualization, layout, and/or graphic design skills to facilitate appealing and effective communication
Proficiency in Microsoft Office (including Word, PowerPoint, Teams. Excel, Outlook, Adobe Professional and SharePoint)
