Property Assistant
Description We are looking for a dedicated Property Assistant to join our clients team on a contract basis in Portland, Oregon. In this role, you will contribute to the smooth operation and management of commercial properties, ensuring tenant satisfaction and maintaining strong relationships with property owners. This position offers an excellent opportunity to utilize your administrative expertise while gaining hands-on experience in property management. Responsibilities: • Support day-to-day operations of commercial properties, including coordination of tenant services and addressing inquiries. • Manage service contracts and oversee bid tracking to ensure compliance and quality standards. • Conduct regular property inspections and provide actionable recommendations for improvements. • Assist with financial tracking and reporting, including invoice processing and budget monitoring. • Handle administrative tasks such as data entry, document preparation, and maintaining organized records. • Serve as the first point of contact for tenants and vendors, providing exceptional customer service. • Coordinate and oversee maintenance requests and ensure timely resolution of issues. • Answer inbound calls and manage correspondence in an organized and efficient manner. • Collaborate with property owners and other stakeholders to foster positive relationships. • Assist with receptionist duties, including greeting visitors and managing front desk operations. Requirements • Minimum of 2 years of experience in administrative support or property management roles. • Strong organizational skills with keen attention to detail. • Proficiency in handling data entry tasks and maintaining accurate records. • Excellent communication skills, both written and verbal, for tenant and vendor interactions. • Ability to prioritize tasks and manage time effectively in a fast-paced environment. • Familiarity with commercial property management practices is highly preferred. • Competency in answering inbound calls and handling receptionist duties. • Positive attitude and commitment to delivering high-quality service.
