Description
We are looking for a Property Administrator to join our team in Toms River, New Jersey. In this contract position, you will play a vital role in supporting daily administrative operations, including managing property-related tasks, handling guest reception, and ensuring efficient communication with vendors and suppliers. This is an onsite position where you will collaborate closely with the management team to maintain smooth office workflows.
Responsibilities:
• Answer and manage incoming calls in the management office, ensuring inquiries are addressed promptly and with attention to detail.
• Welcome and assist guests upon arrival, following visitor protocols and creating a positive impression.
• Process invoices by reviewing, validating, and submitting them for approval, as well as resolving discrepancies with relevant departments.
• Prepare and oversee purchase orders, ensuring proper documentation and tracking of contract renewals.
• Coordinate with vendors and suppliers to fulfill orders and address inquiries efficiently.
• Maintain accurate and organized records of property-related documentation and files.
• Utilize Microsoft Office Suite tools, such as Word, Excel, and Outlook, for daily administrative tasks.
• Troubleshoot basic technical issues and navigate various systems with general computer knowledge.
• Ensure the office environment remains organized and conducive to productivity.
• Collaborate with the management team to support ongoing administrative needs and special projects.
Requirements • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
• Strong communication skills with the ability to interact effectively with guests, vendors, and team members.
• General computer knowledge, capable of navigating systems and troubleshooting basic technical issues.
• Ability to multitask and stay organized in a fast-paced environment.
• Prior experience in administrative roles, preferably 0-2 years, with a background in property management as a plus.
• Detail-oriented demeanor and office etiquette to represent the organization effectively.
• Team-oriented mindset with a willingness to collaborate and adapt to changing priorities.
