General Summary: The Promotional Products & Client Services Specialist serves as a key point of contact for university departments seeking promotional products and other print shop services. This position supports clients through the ordering process, provides knowledgeable product recommendations, and ensures smooth coordination of promotional product and print-related workflows. The role also includes front-line customer service responsibilities, including answering calls, responding to inquiries, and processing incoming orders. Key Responsibilities: + Serve as the primary contact for promotional product inquiries and orders. + Assist clients with product selection, branding guidelines, pricing, and timelines. + Process promotional product orders and quotes using appropriate systems and vendors. + Maintain strong vendor relationships to ensure timely and cost-effective sourcing. + Coordinate with production staff to manage workflow and deadlines for promotional and print projects. + Answer phones, emails, and walk-in inquiries with a high level of professionalism and service. + Process incoming orders and route them to the appropriate area of the shop. + Provide guidance to clients on online ordering platforms and order specifications. + Assist with administrative tasks such as data entry, order tracking, and billing coordination. + Help maintain showroom samples and marketing materials for promotional products. This is a temporary position in which the appointment expires 1 year from the start date. Responsibilities: + Research, create, and execute promotional product presentations for campus and community marketing efforts. + Obtain and prepare quotes for promotional products and decorated apparel. + Project and order management from start to finish to meet deadlines. + Prepare files, print artwork, and complete decorated apparel orders in-house through various digital means of production. + Prepare sales orders for suppliers or place blank apparel orders for distributors. + Cultivate high levels of customer service to ensure smooth operations and customer satisfaction. + Troubleshoot problems and offer solutions when challenges arise with production, shipping, or client expectations. + Maintains records of work performed and materials expended in the management information system. + Educate clients on the range of products available, including both outsourced and in-house production options. + This document represents the major duties, responsibilities, and authorities of this job, and is not intended to be a complete list of all tasks and functions. Necessary Qualifications: + High school diploma or equivalent combination of education and experience. + One (1) year of related communications experience. + Strong written and oral communication skills. + Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and CRM software (e.g., Sage, Salesforce, HubSpot). + Exhibit strong problem-solving, deductive reasoning, and decision-making skills. + Experience in customer service, preferably in a print shop or promotional products environment. + Highly motivated, self-directed, and client-focused attitude. + Proven experience in sales, preferably in promotional products or decorated apparel industries. + Understanding of digital printing, screen printing, embroidery, and other decoration methods for apparel and promotional products. + Ability to learn and perform multiple tasks in a fast-paced environment. + Ability to multitask, stay organized, and manage deadlines in a fast-paced environment. + Knowledge of university purchasing policies and branding guidelines is desirable. + Demonstrated creative and innovative skills. + Integrity and strong work ethic. + Finalists for this position are subject to a background check. + Employment is contingent upon the successful completion of a background investigation, including criminal history and identity check. Preferred Qualifications: + Bachelor’s degree + Three (3) years of experience in customer service and sales in the promotional products/decorated apparel industry. + Proven experience in sales, preferably in promotional products or decorated apparel industries. + Familiarity with promotional product sourcing platforms (e.g., SAGE, ASI, or PPAI tools) is a plus. + Problem-solver with attention to detail. + Collaborative team player with a proactive approach. + A background in marketing, branding, retail, and creative.
