We’re searching for a Project Coordinator with an enthusiasm for the pharmaceutical and healthcare space for a leading BioPharma Client. This is an exciting opportunity to join the growing team at Publicis Health Toronto (PHT). The Project Coordinator will have a strong interest in the creative process from brief though to production, to ensure projects are executed on time and on budget. Working closely with Account Managers within a Production environment, the Project Coordinator will help support administration, project schedules, resources and workflows on a variety of digital projects; banners, social ads, website, photoshoots. You will assist on the end-to-end project workflow, the delivery of high quality and efficient work, while mitigating risks and working quickly to resolve any issues that arise. This is a fantastic opportunity for those looking to launch their careers in the pharmaceutical and healthcare space. In this role, you’ll have the chance to support the creative and administrative aspects of digital projects, ensuring smooth execution from strategy through to delivery. After a year in the position, you will step-up to a Junior Project Manager role so it’s a great opportunity for those wanting to commence their career in the healthcare advertising industry! Responsibilities • Provide administrative support by managing project documentation, updating project management tools (e.g., MS Project, JIRA, Confluence), and maintaining accurate records of project status, timelines, and communications. • Assist in managing administrative tasks related to budgeting, invoicing, and resource allocation. • Coordinate inter-departmental communication to ensure alignment on timelines, deliverables, and expectations. Along with coordinating agency events. • Calendar management for the Senior Leadership Team. • Assist in developing project scopes, timelines, and estimates to ensure projects stay on track and within budget. • Support project coordination from initial brief to final asset delivery, ensuring smooth workflow across teams. • Organize and schedule project meetings, ensuring agendas are set and action items are tracked and followed through. • Monitor and update project schedules, ensuring resources are allocated appropriately and deadlines are met. • Foster positive relationships with internal teams and clients, ensuring smooth collaboration and problem-solving. Qualifications • Preferably 1+ years of experience in project coordination/administration, ideally in an agency setting (interns and entry-level candidates are encouraged to apply!). • Strong written and verbal communication skills. • Strong interest in the pharmaceutical or healthcare industry. • Demonstrated ability in working in administration and working towards deadlines. • Familiarity with project management tools (e.g., MS Project, JIRA, Confluence) is a plus. • Enthusiasm for digital and interactive media, with a keen eye for innovation. • Strong organizational skills, attention to detail, and proactive communication style.
