Compensation Range: $25.00 - $27.00 per hour (e.g., the job posting is not necessarily reflective of actual compensation that may be earned, and actual compensation is subject to variation due to such factors as locations, education, experience, and skillset).
Hours Worked: Monday through Friday, forty-hours per week. A hybrid work location may be available with manager’s prior approval based on business needs. However, must be flexible to meet the needs of the department and complete other projects as assigned.
Position Summary:
The Procurement Administrative Coordinator II is responsible for managing vendor relationships, ensure up-to-date contracts, and maintain confidentiality while overseeing project information flow and collaborating with the client team.
Duties and Responsibilities:

Build relationships and communicate effectively with outside vendors to ensure contracts are up to date Maintain confidential information and ensure both internal and external clients are informed of all contract revisions Manage information sharing from sites regarding project details and relay such information to appropriate internal collaboration sites. Independently manage assigned workflows within the set time parameters. Work as a collaborative member of a team to continually improve on abilities and processes Review quotes for accuracy and appropriate spend then submit to the BOS group for PO creation Assist with quarterly budget reviews by analyzing forecast vs. actual cost to assist with annual business planning Use cost tracking software (CTW & Prism) to update the price grid annually, listing average cost of studies based on actual spend from the past 2 years. Monitor Scientist.com and submit stand-alone PO requests as needed Act as the first point of contact for newly added studies to CRL’s Apollo website, providing access to appropriate personnel Update forecasted Prism studies for each program following gathering sessions and make adjustments as requested Perform project management tasks such as: Ensuring project deliverables are received on time Communicate/troubleshoot with external clients from beginning-end of multiple simultaneous projects Planning/documenting project tasks to ensure deadlines/ goals have been met Follow the guidelines set forth with clients and Company Quality, Health, Safety, Security and Environmental policies and procedures. Comply with clients’ and Company management systems in accordance with appropriate regulatory agencies. Perform other essential tasks projects and responsibilities as required. Skills & Proficiencies:
Superior written and oral communications are necessary to be successful in this role Experience with Microsoft Office programs with especially high level of familiarity with Excel, SharePoint and Outlook. Not essential but experience with Prism or STaRT Portal a bonus. Solid track record of delivering excellent administrative coordination and organization Be a proven multi-tasker that truly thrives on juggling multiple projects in a deadline driven environment Possess strong organizational skills with ability to quickly assess project status and communicate details effectively Experience working in an FDA regulated environment is a plus Self-starter, takes initiative to follow through on outstanding tasks Very high attention to detail. Document auditing abilities and focus in finding mistakes. highly motivated, organized and self-disciplined. Education and Experience:
Degree requirement: Associate degree in a related field Minimum 1 year of related project management experience Minimum of 1 year of administrative support experience
An equivalent combination of education and experience may be accepted in lieu of above.
