Project Coordinator

Key Responsibilities:

Administration function

To act proactively and ensure that the team provides effective and timely support and information to project sites.Flag risk and challenges to Operations and administer customer queries.Review, understand and drive compliance as per agreed scope of contract.Ensure coordination with stakeholders the integration of orders is complete with no delays.Ensure that the project team have the necessary tools and training to perform their roles.

Provide support to Operations

Reporting – providing a comprehensive report that will enable the Delivery Project Manager to manage their day-to-day operations.  Ensure to maintain and monitor project plan schedules, budget and expenditures for projects.Fleet – provide Planned Maintenance reporting, Service history to Sites.Meetings – lead meetings with stakeholders, coordinate and provide action summary for Operations.  This includes updates of any relevant amendments made internally and externally.Training – develop and maintain the training register of Operations employees that is useful for projects.Inductions – coordinate the process for site inductions.Labour scheduling – oversee the scheduling of minor projects utilizing FSL.  Ensure our operations teams are set up to support projects in partnership with the Operations Manager and SST.  Manage the coordination for contractors (internal/external) for travel, accommodation, hire vehicles, contractor’s POs and scheduled invoices.Documentations – Provide framework that implementation teams will follow that will maintain accurate and latest versions of documents used for projects.Budget – assists in monitoring and estimating budget and scope of projects and escalates anything that exceeds parameters.

Inventory

Coordinating and monitoring the Purchasing process which is a key for Operations.Coordinating the stock take process as part of the company compliance requirements.Coordinating ad hoc stock takes as required by site.Ensuring a robust MRP process for inventory management at site.Handle Basware approvals.

Provide support to Customers

Establish a reporting framework that provides quality customer reports that enables engagement and discussion.Coordinate, schedule and provide actions where necessary from customer meetings.

Other

Support and manage internal/external audits as necessary.Establish and maintain procedures and processes in alignment with ISO9001 and QMS standards as required.Ensure continuous process improvement within the Administration team and at sites.Complete ad hoc tasks as required by Project Operations Manager.It is a requirement and moral obligation of each employee to be actively committed and accountable for compliance to the Aggreko Health, Safety & Environmental policies, procedures and local legislation.
