We are seeking a detail-oriented and proactive Project Coordinator to join our Facilities & Corporate Real Estate team in Calgary, Alberta. In this role, you will support the setup, improvement, and daily operations of our new Calgary office. From coordinating tenant improvements and managing vendor relationships to processing contracts and maintaining project documentation, this role offers a strong foundation for career growth in both project delivery and facilities operations.
Key Responsibilities: Project Coordination & Documentation Support the planning and execution of office fit-outs, reconfigurations, and facility upgrades. Organize and document project meetings; track action items, deliverables, and deadlines. Assist in preparing and maintaining project schedules, scopes of work, budgets, and risk logs. Coordinate the receipt and archiving of close-out documentation, including: As-built and CAD drawings Occupancy and building permits Warranty manuals Final compliance checklists and audit materials Ensure accurate documentation filing in internal systems (e.g., LinkSquares and CRE platforms). Assist with project reporting and updates for leadership. Procurement & Contract Administration Submit and track purchase orders for project-related and facilities purchases in accordance with internal thresholds and policies. Process and review contracts, work authorizations, and change orders. Review and prepare invoices for approval, ensuring alignment with contract terms and governance. Assist with vendor setup and compliance documentation as needed. Facilities & Workplace Support Coordinate office moves, seating plans, and equipment/furniture installations. Work with external vendors to support ongoing building operations and maintenance services. Monitor and manage facility-related service tickets and ensure timely resolution. Liaise with property management and service providers to maintain operational standards. Other administrative support tasks as assigned. Communication & Stakeholder Liaison Coordinate calendars and meetings involving internal stakeholders and senior Facilities & CRE leaders. Serve as a key point of contact for external consultants, contractors, and vendors. Gather field information, photos, or updates as required to support project activities. Provide regular updates on project status, risks, and next steps to team leadership. Qualifications: Required 3+ years of experience in project coordination, preferably within facilities, corporate real estate, or construction. Post-secondary education in Project Management, Facilities Management, Architecture, Construction, Engineering, or a related discipline—or equivalent experience. Strong organization, time management, and multitasking skills. Excellent communication skills, both verbal and written. Strong proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint). Ability to work on-site and interact with internal teams, vendors, and contractors. Preferred Experience with tenant improvements or workplace fit-outs. Familiarity with Alberta building codes, permitting, and compliance practices. Knowledge of procurement workflows and contract documentation. Exposure to design and construction drawings and real estate terminology. PMP, LEED, or facilities-related certifications are an asset.Why Join Fortinet?
The Canada base salary range for this full-time position is expected to be between $65,000 - $75,000K annually. Wage ranges are based on various factors including the labour market, job type, and job level. Exact salary offers will be determined by factors such as the candidate’s subject knowledge, skill level, qualifications, and experience.
