Project Associate, Virtual Philanthropy

External Relations (formerly University Advancement) at the University of Virginia (UVA) and the Office of Engagement are seeking a highly qualified candidate to fill the role of Project Associate, Virtual Philanthropy. Position Summary

Reporting to the Director of Virtual Philanthropy, this role ensures that key milestones are met across multiple workstreams, including data analysis, reporting, donor engagement, and student staff coordination. The Project Associate, Virtual Philanthropy, serves as an organizational point person, supporting the Virtual Philanthropy team on a range of strategic projects. This role works with a degree of independence to interpret data, manage project timelines, and support cross-functional collaboration.

Project Coordination

Gain familiarity with the full scope and requirements of Virtual Philanthropy projects.

Monitor project deadlines and deliverables; make informed recommendations to project leadership.

Ensure that key stakeholders are aware of project status and any barriers to success.

Provide high-level administrative and project support to the Virtual Philanthropy team.

DXO Portfolio Analysis and Management

Collaborate with the Prospect Research, Management, and Analytics team to manage Donor Experience Officer (DXO) portfolio changes (removals, additions, referrals).

Review and organize DXO prospect lists; make data-based recommendations for outreach.

Tag and track prospects to monitor progress toward pipeline development goals.

Reporting & Data Analysis

Perform data entry and provide database management support. 

Analyze Annual Giving prospect data to support pipeline development, recurring giving, and referral goals.

Use internal reporting systems to generate reports on Virtual Philanthropy’s team performance.

Interpret data to inform decision-making and optimize outreach strategies.

Provide consistent reporting to Virtual Philanthropy partners and External Relations leadership.

Salesforce & CRM Reporting and Training

Learn and master the new Advancement CRM, with a focus on Sales Engagement our new Donor Experience outreach tool.

Generate outreach reports to track Donor Experience team progress.

Test and troubleshoot new CRM features; recommend enhancements to improve outreach effectiveness.

Collaborate with Donor Experience and Advancement Operations teams on CRM optimization.

Student Fundraising Support

Support Contracted Independent Organizations (CIOs), student clubs, and fundraising partners in tracking and organizing their constituents to facilitate grassroots fundraising efforts.

Assist student fundraising partners with logistics, keeping them on task to hit key deadlines.

Code student activity information in our database of record.

Administrative Support

Plan and staff meetings and events for the Virtual Philanthropy team.

Manage calendars for Virtual Philanthropy leadership.

Coordinate and schedule team travel arrangements.

Make purchases and manage reimbursements.

Provide general office support and perform additional duties as needed to meet the evolving needs of the team.

Required Qualifications:

Education: Bachelor's degree

Experience: Two years of experience. Relevant experience may be considered in lieu of a degree.

Proficient with Microsoft Office Programs.

Excellent verbal and written communications skills.

Preferred Qualifications:

Ability to analyze information using critical thinking and problem-solving skills.

Experience working collaboratively with stakeholders to provide business analysis.

Ability to navigate database systems and analyze information using critical thinking and problem-solving skills.

Demonstrates the ability to work independently, exercising sound judgment to overcome challenges and complete tasks with minimal supervision. Effectively manages multiple projects, prioritizes responsibilities, and meets tight or overlapping deadlines.

Prior experience with CRM databases and other marketing and event software such as Advance, Marketing Cloud, Evertrue, Salesforce, etc.

Experience collaborating with student volunteers and student organizations.

Ability to articulate complex ideas clearly, accurately, and concisely.

Physical Demands:

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.

Salary Range

The anticipated hiring range is $52K - $60K / year, commensurate with education and experience.

This is a restricted position, which is dependent on funding and is contingent upon funding availability.

This position is headquartered in Charlottesville, VA. A hybrid schedule combining in-person and remote work is available, with on-site presence required for key meetings, activities, and events. All team members must have access to and maintain a secure home office environment with high-speed internet service and be able to work collaboratively with others using a variety of technologies and tools when working remotely. The ideal candidate will reside within a reasonable driving distance of Charlottesville with the ability to commute multiple days per week.
